Job description

Our client is currently looking for a highly organized and detail-oriented Buyer to join our team for a temporary assignment. This role is responsible for managing purchase orders from the time an order is received through to vendor fulfillment and payment with Accounting. The successful candidate will work in a high-volume environment, managing multiple orders and priorities simultaneously while maintaining strong communication with vendors and internal teams. The successful candidate will be comfortable working with ERP systems, Excel, vendor portals, and shared email inboxes.

Responsibilities:

  • Receive and process orders entered by the Inside Sales team.
  • Create and issue purchase orders (POs) to vendors.
  • Monitor open purchase orders and proactively follow up with vendors to ensure orders are delivered on time.
  • Expedite orders when required and communicate updates to internal teams.
  • Manage vendor questions, discrepancies, disputes, and other purchasing-related issues.
  • Take ownership of purchase orders from creation through to completion and payment with Accounting.
  • Work primarily from a shared purchasing inbox, ensuring inquiries and requests are addressed promptly.
  • Upload and manage purchasing information through various vendor portals.
  • Collaborate closely with other members of the Purchasing team to manage workload and priorities.
  • Maintain accurate purchasing records and ensure information is entered correctly into the ERP system.
  • Use Excel and other Microsoft Office tools to support day-to-day purchasing activities and reporting.
  • Use existing Power BI reports to monitor information and support purchasing activities.
  • Perform other purchasing and administrative duties as required.
Requirements:

  • Previous experience in purchasing, procurement, order management, billing, or a related administrative role is an asset.
  • Experience working in a high-volume environment with multiple orders, requests, and deadlines.
  • Strong organizational and prioritization skills with excellent attention to detail.
  • Strong follow-up skills and the ability to proactively resolve outstanding issues.
  • Comfortable working with Microsoft Office, particularly Outlook and Excel.
  • Experience working with an ERP system; experience with M3 is an asset.
  • Comfortable learning and navigating web-based systems and vendor portals.
  • Ability to upload and manage information accurately through multiple vendor websites.
  • Strong written and verbal communication skills.
  • Ability to work effectively from a shared inbox and collaborate with a team.
  • Positive, team-oriented attitude with a willingness to learn.
