School Office Secretary Job Description

 (9 1/2 month position) 

JOB SUMMARY

Under the direction of the principal, performs a variety of clerical and support work involving both specific routines and broadly defined policies and procedures; greets and interacts with the public, works cooperatively with staff, students, and parents, and performs other related duties as assigned

 ESSENTIAL DUTIES

  1. Meet and interact with public and employees in routine situations which require tact, discretion and courtesy.
  2. Provide a variety of clerical duties involving all but the most complex matters.
  3. Give information and interpretations of policies or procedures related to departmental or school activities.
  4. Establish, maintain and monitor accurate, neat and efficient electronic and manual filing systems.
  5. Sort and classify incoming mail and other information for efficient disbursement to appropriate recipients.
  6. Prepare letters, memoranda, reports, bulletins, handbooks, questionnaires, requisitions and other materials from marginal notes, rough drafts, verbal instructions or dictating equipment.
  7. Compile information from various sources on a variety of standardized forms.
  8. Assist in the orientation and training of the employees or volunteers.
  9. Prepare accurate minutes of meeting.
  10. Ability to handle confidential information with complete security.
  11. Gather and prepare appropriate attendance/accounting information.
  12. Maintain office bulletin board.
  13. Request monthly budget activity reports for programs/staff.
  14. Schedule and coordinate Individualized Educational Program (IEP) meetings.
  15. Request monthly budget activity reports for program staff - large school.
  16. Assist with and log fire, earthquake and emergency drills.
  17. Enroll and discharge students. Request records from prior schools, distribute school records.
  18. Maintain classroom key distribution and record-keeping.
  19. Conform to District policy regarding attendance and absences. Employee attendance must be adequate to perform the above listed essential job functions.
  20. Drive a car.

Required Knowledge, Skills & Abilities Necessary to Performance of Essential Functions

  1. Computer skills
  2. Must be a high school graduate of an accredited institution
  3. Prefered two years clerical/secretarial experience, including word processing
  4. Ability to communicate effectively and help others
  5. Successful work background

Desirable Knowledge & Abilities

  1. Previous experience in a public school setting or institution of higher education
  2. Experience working with students and parents
  3. Ability to perform minimal bookkeeping procedures
  4. Hold and maintain an Illinois Driver's License
  5. Knowledge of modern office practices and procedures
  6. Ability to maintain accurate clerical records and prepare simple reports
  7. Ability to learn and interpret rules, regulations, laws and instructions
  8. Knowledge of and ability to use English correctly and appropriately
  9. Ability to perform required clerical work accuracy and within established timelines
  10. Ability to operate a variety of office machines
  11. Ability to utilize word processing, database and spreadsheet programs on the computer

  2. Ability to compile information from various sources and type on a variety of forms
  3. Ability to exercise independent judgement in the interrelation and application of standard practices and procedures
