Job description

The Donor Relations Associate supports the organization's fundraising and stewardship efforts by building and maintaining positive relationships with donors. This role is responsible for coordinating donor communications, managing gift acknowledgements and records, and ensuring donors receive timely, accurate, and meaningful recognition for their support. The Donor Relations Associate partners closely with development, finance, and program teams to ensure a high quality donor experience and consistent stewardship across all giving levels. The ideal candidate is highly organized, service oriented, and committed to supporting the mission through excellence in donor engagement and administrative accuracy.

MAJOR RESPONSIBILITIES & DUTIES:
  • Prepares, proofreads and edits specialized donor acknowledgements.
  • Manages data and the administration via Blackbaud CRM for one or more specialized channels of giving including Recurring Gifts, Tribute Donations, Stock Transfers, Matching Gifts, Donor Advised Funds, Event Registrations and Gifts-in-Kind.
  • Processes incoming donations and donor requests via mail on a daily basis utilizing various queues in Blackbaud CRM proficiently and accurately.
  • Enters and Documents interactions that are had with donors in the donor database accurately and timely.
  • Audits Blackbaud CRM by creating and executing specific queries ensuring data accuracy including name and address updates, gift audits, relationships and other pertinent donor information complying with established policies and procedures
  • Evaluates standard operating practices, including record keeping, training documentation, letter accuracy, donation forms and data entry errors on a consistent timeline.
  • Strong organizational and project management skills with the ability to manage multiple tasks and meet deadlines.
  • Engages with donors and prospective donors when answering incoming phone calls.
  • Responds to donor inquiries via emails, mail and voicemail in a timely and professional manner as well as provides a high level of donor cultivation and stewardship.
  • Maintains accurate and confidential donor information in the database, ensuring data integrity, and completing data cleanup projects.
  • Maintains files and develops documentation for internal procedures.
  • Initiates and participates in team problem solving and ensuring processes are efficient.
KNOWLEDGE, SKILLS, AND ABILITIES:
  • Knowledge of donor relations and development practices.
  • High level of professionalism and interpersonal skills. Excellent critical thinking, analytical, and problem- solving skills.
  • Advanced computer skills in Microsoft Office, including PowerPoint, Excel, Word and Outlook.
  • Ability to communicate with individuals at all levels in the organization and with external business contacts in an articulate, professional manner while maintaining necessary degree of confidentiality.
  • Ability to build and sustain successful, professional relationships.
  • Ability to work independently in a collaborative environment, meet deadlines, and multi-task while maintaining quality standards.
  • Ability to adapt responses to situations while maintaining procedural and regulatory integrity.
  • Service orientation and commitment to assisting donors with enthusiasm.
REQUIRED QUALIFICATIONS:
  • High school diploma or equivalent required.
  • Minimum 2 years of experience in a business-oriented position required.
  • Some seasonal weekend work may be required.
PREFERRED QUALIFICATIONS:
  • Associate's degree preferred.
  • Donor relations or four years of experience in customer relations is preferred.
