Job description

General Functions and Scope

The Proposal Coordinator is responsible for maintaining efficient and high caliber support for marketing and business development activities. They will perform accurate and timely delivery of services in support of sales and new business pursuits throughout all AIS lines of business. We are looking for someone with excellent communication skills, the ability to work as part of a team under tight deadlines, and a real enthusiasm for producing winning proposals.

Essential Functional Areas of Responsibilities:

  • Assists in the development and production of proposals and qualification packages, while ensuring RFP instructions and internal brand guidelines pertaining to format are followed.
  • Participates in go/no-go RFP analyses in compliance with delegation of authority guidelines, capture planning and positioning activities as they pertain to preparation for the proposal.
  • Coordinates input of technical components and write non-technical components including tailored executive summaries, resumes, experience, past performance, and management sections for proposals.
  • Reviews, filters and distributes RFP opportunities received from online tender search services.
  • Reviews, tracks and edits letter proposals.
  • Updates and maintains project profile library.
  • Develops and edits simple graphics.
  • Creates and maintains client CRM (Dynamics) databases, sales dashboard, and mailing lists.
  • Collaborates in drafting social media posts, company newsletters, and marketing campaigns.
  • Support special projects, as required.
