What is a proposal associate?

Proposal Associates are professionals who support the development, organization, and submission of proposals, typically in response to requests for proposals (RFPs) from clients or government agencies. They coordinate with various teams to gather necessary information, ensure compliance with requirements, and help create compelling written documents that showcase their company's capabilities. Proposal Associates play a key role in managing timelines, formatting documents, and often contribute to writing and editing proposal content. Their work is essential in helping organizations win new business or secure funding.

What are the key skills and qualifications needed to thrive as a proposal associate, and why are they important?

To thrive as a Proposal Associate, you need strong writing, editing, and organizational skills, often supported by a bachelor's degree in communications, business, or a related field. Familiarity with proposal management software (such as RFPIO or Loopio), Microsoft Office Suite, and sometimes Shipley or APMP certifications is typical. Attention to detail, time management, and effective collaboration are vital soft skills for excelling in fast-paced proposal environments. These abilities ensure high-quality, compliant proposals that meet client requirements and increase the organization's chances of winning new business.

How does a proposal associate typically collaborate with subject matter experts during the proposal development process?

As a Proposal Associate, you will frequently work alongside subject matter experts (SMEs) to gather technical details, clarify requirements, and ensure proposal content is both accurate and compelling. This often involves scheduling interviews, facilitating information-sharing sessions, and translating complex information into clear, client-focused responses. Building strong relationships and maintaining open communication with SMEs is key to meeting tight deadlines and producing high-quality proposals. Your ability to coordinate input from multiple stakeholders is crucial throughout the proposal lifecycle.

Job description

KGD Architecture is an award-winning full-service design firm headquartered in Washington, DC, with additional offices in Arlington, Virginia; Boston, Massachusetts; and Bangkok, Thailand. Our work spans architecture, urban planning, and interior design, with a diverse portfolio that includes affordable housing, multifamily residential, institutional, corporate/commercial, and mixed-use clients.

We are a firm built on the belief that design should reflect the values and culture of the communities it serves. To that end, KGD Architecture has joined Aeterna Group, a new national firm comprised of five architecture and engineering firms united by a shared belief that great design enriches the communities it serves.

KGD Architecture continues to operate under its own name, with the same leadership, same team, and same deep commitment to our clients within the Mid-Atlantic Region and across the United States that have defined our firm since its founding 30 years ago. By joining this national collective, KGD Architecture has access to shared resources, broader expertise, and a national network of like-minded firms working toward the same goal.

We are seeking a full-time proposal writer who has a passion to actively contribute to efforts that build key relationships with teaming partners and clients, win projects, and increase awareness of current projects. Based in our DC headquarters, the ideal candidate is an outgoing self-starter who can effectively collaborate with firm colleagues at all levels along with taking initiative to proactively organize and lead the firm's efforts to respond to prospective client requests from statements of qualifications and brochures to comprehensive proposals and interviews. The successful candidate will demonstrate an ability to write with a conversational style as well as support the translation of technical content into thoughtful, compelling narratives and suitable graphics, as appropriate. They will also effectively manage their time and schedule in concert with those of others, with the ability to work independently and as a team member, sharing in the management and coordination of the proposal workload.

Success at KGD Means
  • You are agile, detail-oriented, and committed to design and technical excellence. You take initiative, enjoy leading project documentation, and bring experience coordinating complex teams and consultants. Youโ€™re excited by the opportunity to work on a diverse range of building typesโ€”from multifamily housing and commercial office to mission-driven public architecture.
  • Ideas: We believe in a meritocracy of ideas. We look to everyone to actively contribute to the discourse in the firm.
  • Knowledge: We believe that expertise is the result of lifelong learning. We are not expected to know everything, but rather to passionately pursue answers, develop new skills and deepen our knowledge.
  • Ethos: We strive for excellence in the concept, quality, of everything we create.
  • Individual: We value individuals who bring the highest standards of professionalism and personal integrity in the way they work. Each person can develop and contribute their wealth of attributes, skills and knowledge to support the overall health of the firm.
  • Team: We value the power of interdisciplinary integration. A positive team culture in which everyone collaborates openly towards common goals is essential.
  • Firm: We have a history of making transformative contributions to the profession and our communities. We are constantly innovating and attempting to bring new approaches, solutions and processes to our work.
  • Coordinates, writes, edits and produces responses to solicitations, SOQs, RFQs, RFPs; this includes research, technical content, graphics, page layout and design.
  • Coordinates and cultivates collaborative relationships with key members and fellow marketing peers of our firmโ€™s current and prospective subconsultants, as well as teaming partners.
  • Has the ability to work with multiple firm leads to assemble materials and manage the entire proposal process from start to delivery, including adhering to all internal deadlines for drafts/reviews.
  • Reads and analyzes solicitations, SOQs, RFQs, and RFPs plus effectively edits proposal content for spelling, grammar, consistency, and compliance with requirements.
  • Prepares presentations, leave behinds and handouts for interviews with prospective clients.
  • Assists with tracking and inputting opportunities into the CRM system for weekly meetings plus tracking the firm's win/loss record for all proposals submitted.
  • Schedules and participates in proposal strategy meetings.
  • Attends pre-proposal meetings and debriefings as needed.
  • Assists with other business development/marketing functions, as necessary.
  • Updates and maintains the marketing department's documentation and databases (i.e. resumes, project portfolios, photos, references, licenses and certifications, project history, etc.).
Qualifications
  • Holds an associate or bachelor's degree in marketing, English, communications or journalism and/or equivalent experience.
  • Has a minimum of 3-5 years of experience providing proposal and presentation coordination and marketing support in the A/E/C industry preferred.
