POSITION OVERVIEW

The Proposal Coordinator/Pursuit Specialist will support Kirksey’s marketing and business development efforts by coordinating and managing pursuit-related activities from kickoff through final submittal. This role is responsible for producing strategic, accurate, well-written, and visually compelling proposals, qualifications packages, interview presentations, and other client-facing materials.

The ideal candidate is a motivated, detail-oriented professional who thrives in a fast-paced, deadline-driven environment and enjoys collaborating with multidisciplinary teams. This position requires strong organizational, communication, and problem-solving skills, along with the ability to manage multiple concurrent pursuits and priorities. Title and level of responsibility will reflect candidate experience.

KEY RESPONSIBILITIES:

Pursuit Coordination:

· Coordinate the overall proposal process for assigned pursuits to produce strategic, accurate, well-written, and visually compelling submittals.

· Collaborate with marketing staff, Market Directors/Business Development leaders, and technical teams to develop proposal strategies, schedules, and deliverables.

· Assist with preparation of qualifications packages, proposals, interview presentations, and other client-facing materials.

· Tailor proposal content to align with client goals, RFQ/RFP requirements, and Kirksey brand standards.

· Coordinate with consultants and subconsultants to gather required materials and information for pursuits.

· Support proposal production efforts, including formatting, editing, proofreading, printing, and delivery coordination.

· Maintain pursuit schedules and manage multiple deadlines simultaneously.

· Support interview teams to ensure cohesive messaging and presentation quality.

· Maintain project data, resumes, pursuit information, and marketing collateral within Kirksey databases and systems, including Vantagepoint.

Marketing and Business Development Support:

· Contribute to internal brainstorming and strategy discussions related to pursuits, client development opportunities, messaging, and research.

· Assist with conferences, events, and exhibits as needed.

· Provide general marketing and administrative support as needed.

· Support a collaborative team environment and contribute wherever needed to help achieve team goals.

REQUIRED QUALIFICATIONS

· Minimum of 2+ years of experience in the A/E/C industry.

· Proposal coordination experience preferred.

· Adobe InDesign experience preferred.

· Strong organizational, communication, and problem-solving skills.

· Ability to manage multiple concurrent pursuits and deadlines in a fast-paced environment.

· Proactive, collaborative mindset with a strong work ethic and positive attitude.

· Ability to work effectively with multidisciplinary teams and support pursuit efforts from kickoff through final submittal.
