Job description

SUMMARY
The Operations Assistant performs various administrative functions to support daily operations for the Home Care Office. This individual should be self-driven, dependable, professional, and positive.
PRIMARY FUNCTIONS:
  • Provides general administrative support for daily operations and special projects.
  • Maintains front office organization and assist with set up for in-services and other functions.
  • Assembles active clinical records, per agency standards. Labels and files the clinical record in the filing cabinet & thins out charts as needed.
  • Breaks down all discharged clinical records per agency standards.
  • Files visit notes and other clinical documentation in active and discharged charts.
  • Maintains appropriate levels of documentation forms for use by staff.
  • Prepares admission and Orientation packets.
  • Assists with weekly Payroll.
  • Checks agency mail & distribute to appropriate staff members.
  • Process Accounts Payable for all vendor check requests including Independent Contractors and other Home Care community-based staff. Reviews and approves all AP headers for accuracy prior to sending to AP department for payment. Manages new vendor credential process.
  • Assists with managing supply inventory & disbursement, as appropriate.
  • Reports issues and complaints and involve management when appropriate.
  • Assists field staff with troubleshooting the EMR systems.
  • Assists the Medicare & Private office by calling clients for feedback.
  • All other duties as assigned by manager.

SKILLS:
  • Excellent oral and written communication skills
  • Proficiency in composition of written communication preferred.
  • Excellent interpersonal skills and customer service skills.
  • Strong organization skills and attention to detail.
  • Ability to deal with sensitive patient information and maintain confidentiality.
  • Must be proficient with Microsoft Office Suite and current technology with the ability to learn new software applications quickly.
  • Positive demeanor.
  • Ability to multi-task and prioritize quickly.
  • Flexibility of hours if needed for special projects

QUALIFICATIONS:
(EDUCATION and/or EXPERIENCE)
  • 1 Year office experience in the health care setting preferred.
  • Matrix Care experience, preferred.
  • Must have working computer and internet knowledge.

Work Location: In person
