Position Summary:

Vascular Centers of America is a rapidly growing multi-state healthcare organization specializing in the diagnosis and treatment of vascular disease. As we continue to expand, we are seeking a highly organized, proactive Project Manager who can work closely with our CEO and executive team to bring structure, accountability, and clarity to company-wide projects.

This role is ideal for someone who has emotional intelligence, great interpersonal skills, fast paced nature, understands how to build systems, and is comfortable coordinating across multiple departments and leadership levels.

We are looking for a detail-driven, systems-focused Project Manager with strong proficiency in ClickUp. This individual will build and maintain a streamlined project management structure that keeps executives, managers, and departments aligned and accountable. The right candidate can balance being detail-driven along with great interpersonal and emotional intelligence.

You will act as the operational bridge between the CEO and the rest of the leadership team—translating strategic goals into actionable plans and ensuring projects progress from planning to execution to completion.

In addition to managing projects, this individual will take an active role in understanding the day-to-day operations of the organization. They will work closely with employees across all departments to document responsibilities, create organizational visibility, and develop systems that provide leadership with a clear understanding of workflows, ownership, and accountability throughout the company.

Responsibilities:

  • Work directly with the CEO to understand organizational priorities, timelines, and growth initiatives

  • Build, organize, and optimize workflows using ClickUp

  • Create and maintain a company-wide system for tracking tasks, timelines, owners, and deliverables

  • Meet with executives and department managers to ensure alignment and follow-through

  • Facilitate project meetings, capture action items, and ensure accountability

  • Provide regular progress updates and reports to leadership

  • Identify operational gaps and implement scalable solutions as the organization grows

  • Build relationships with employees across all departments and locations to gain a comprehensive understanding of company operations

  • Conduct one-on-one meetings with team members to understand their roles, responsibilities, workflows, priorities, and challenges

  • Create and maintain organizational charts, role matrices, and reporting tools that clearly define responsibilities and ownership throughout the organization

  • Develop spreadsheets, dashboards, and tracking systems that provide the CEO with visibility into employee responsibilities, departmental functions, project ownership, and organizational structure

  • Identify inefficiencies, overlaps, communication gaps, and opportunities for improved accountability across teams

  • Partner with leadership to ensure roles, processes, and workflows are properly documented and understood throughout the organization

Requirements:

  • Candidates must hold a Bachelor's or Master's degree in Project Management or possess a recognized Project Management certification along with proven project management experience

  • 3+ years of project management experience in healthcare or multi-site operations

  • Strong proficiency with ClickUp

  • Ability to work well with executives, clinical leaders, managers, and employees at all levels of the organization

  • Comfortable driving accountability while maintaining positive relationships

  • Emotionally intelligent and understanding of human nature

  • Superb interpersonal skills balanced with strong project management abilities

  • Strong organizational analysis and process documentation skills
