Job description

We are seeking a Property Management Administrative Assistant to become a part of our team! A beautiful, gated community is seeking an onsite Administrative Assistant who thrives in a busy, vibrant environment.

General Purpose:

  • The Administrative Assistant is an administrative professional who assists our Community Association Manager. The position requires a person who will conduct themselves in a professional manner while cooperatively assisting the CAM with the daily operation of the client association by handling correspondence, questions, concerns, telephone, and general office duties with speed and professionalism.

Responsibilities:

  • Proactive communication with residents, vendors and visitors
  • Assist association manager (CAM) with the organization of the day-to-day projects
  • Organizing, writing and sending written correspondence, violation letters and general correspondence as directed by the manager
  • Perform data entry and use software programs
  • Manage database records
  • May require research skills to troubleshoot customer questions, problems or tasks given by the manager
  • Preparing reports and spreadsheets as directed by the manager
  • Keeping track of meeting notes and typing minutes when requested by manager
  • Assisting with client mailings as instructed by the manager
  • Attend meetings when required by manager
  • General office duties which include but are not limited to: fielding telephone calls, drafting letters and emails, scanning documents, copying documents, faxing documents, gate system information, filing, and any other office duties required for the job

Qualifications:

  • Strong written and verbal communication skills, organizational and customer service skills are essential.
  • Two years of administrative experience
  • Property Management experience a plus
  • High school diploma and/or equivalent to diploma
  • Must be a self-starter who is able to multitask effectively.
  • Excellent interpersonal communication and problem-solving skills; must be able to confidently deal with a wide diversity of people
  • Commitment to great customer service, continuous improvement, honesty and integrity
  • Proficient in word and excel, and the ability adapt and learn new computer programs
  • Ability to develop and sustain positive and co-operative working relationships with a broad variety of managers, co-workers, clients, owners, vendors, and attorneys within the field
