Job description

Project / Administrative Assistant

Harvest Preparatory Academy is seeking an organized, detail-oriented, and proactive Project / Administrative Assistant to support leadership and various departments with administrative tasks, special projects, project tracking, and follow-up.

This position is ideal for someone who enjoys staying organized, keeping projects moving, and working with different teams throughout an organization. The individual will help coordinate projects, maintain documentation, track tasks and deadlines, follow up on outstanding items, and provide general administrative support.

This position will involve assisting with the review and organization of departmental job descriptions, policies, and procedures. This will include working with department leaders, organizing and reviewing documentation, tracking needed updates, and following up on outstanding items.

Key Responsibilities

  • Provide administrative and project support to leadership and departments.
  • Coordinate and assist with special projects and organizational initiatives.
  • Track tasks, deadlines, action items, and project progress.
  • Follow up with team members regarding outstanding tasks and deliverables.
  • Assist with reviewing, organizing, and maintaining organizational documents and records.
  • Prepare correspondence, spreadsheets, meeting notes, reports, and other administrative materials.
  • Learn and utilize Monday.com for project and task management.
  • Maintain organized electronic files and project documentation.
  • Assist with scheduling, meetings, and general clerical responsibilities.
  • Provide support for additional administrative tasks and projects as needed.

Qualifications

  • Strong administrative, clerical, and organizational skills.
  • Excellent attention to detail and follow-through.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks and priorities.
  • Comfortable working with and following up with staff and department leaders.
  • Ability to work independently, take initiative, and meet deadlines.
  • Proficiency with Microsoft Office applications.
  • Comfortable learning and working with technology and project management systems such as Monday.com.
  • Previous administrative or project coordination experience preferred.
