Job Description –With strong project and vendor management skills and excellent attention to detail, the Project Coordinator will partner with the Construction team and Project Managers to manage all phases of tenant improvement projects, track project activities, budgets, schedules and management of deadlines. While managing the smooth completion of projects, Project Coordinator must ensure compliance and certification with company and county safety requirements and codes. The Project Coordinator possesses excellent coordination and communication skills while working with vendors and internal team members to ensure the timely implementation of projects. Additional responsibilities for the Project Coordinator include the following:
Responsibilities:

  • Review, code and track invoices submitted by Project Managers and ensure submitting to department head for approval.
  • Creates reports as requested to track material deliveries, project submittals and RFIs.
  • Coordinates vendor payment and answers questions regarding status of outstanding payments.
  • Ensures contracts for contracted projects are signed and provides copies to contractor and Property Manager and retains one for department files.
  • Works with Project Managers in calling vendors regarding all invoicing, contracts, bids and budgets.
  • Completes bid summaries, cost letters and recaps for Project Manager.
  • Assist the Project Managers with the various aspects of the permitting/entitlement process.
  • Assist Leasing Department, including participation in tenant showings, proposal preparation, and the development of tenant work letters.
  • Inspect and review projects to identify safety issues.
  • Contact architects, consultants, clients, suppliers and subcontractors when required.
  • Create, update, and analyze detailed cost code budgets.
  • Monitor contractor schedules and report on level of trade workers at project sites.
  • Attend and taking meeting minutes at contractor and architect meetings.
  • Coordinate with space planners for drawing distribution and timing.
  • Miscellaneous duties as assigned.

Requirements
  • 3 years of related Project Management experience working with multiple sites.
  • Highly proficient in MS Word, Excel, Outlook, and project management systems.
  • Excellent customer service skills and ability to complete projects timely and with high quality – we need a Construction Project Manager with excellent follow through!
  • Ability to manage multiple projects, prioritize as necessary and leverage resources throughout the organization.
  • Exceptional problem solving, written, and verbal communication skills.
Education
  • Bachelor’s degree is required and related work experience preferred.
