Job description

We are looking for a Project Assistant to provide organized, hands-on support for construction projects in Waukesha, Wisconsin. This contract opportunity with permanent potential is ideal for someone who enjoys keeping project activity moving, managing documentation accurately, and partnering with teams across the office and field. In this role, you will help maintain smooth communication, track critical details, and support project operations from kickoff through closeout.
Responsibilities:
• Coordinate daily administrative support for project managers and construction staff by arranging meetings, managing calendars, and preparing routine communications.
• Maintain accurate project records by organizing contracts, submittals, change documentation, RFIs, permits, and related files throughout each phase of work.
• Assist with project startup activities and keep information current within project tracking and document control systems.
• Create and update spreadsheets, status reports, meeting notes, and other materials used to monitor project progress.
• Serve as a communication link among internal departments, clients, subcontractors, suppliers, and field teams to help keep work aligned.
• Support purchasing and payment-related tasks by processing purchase orders, tracking invoices, collecting lien waivers, and maintaining vendor paperwork.
• Monitor due dates and submission requirements to help ensure documentation is completed on time and in accordance with project standards.
• Contribute to cost and budget tracking by entering data, assisting with expense reporting, and helping maintain accurate project financial records.
• Handle sensitive company, client, employee, and project information with discretion and professionalism.• High school diploma or equivalent required; additional coursework or an associate degree is preferred.
• At least 2 years of administrative experience, ideally within construction, engineering, architecture, or another project-driven setting.
• Strong ability to organize information, maintain detailed records, and manage multiple deadlines effectively.
• Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and Teams.
• Experience supporting scheduling, data entry, document scanning, and general administrative coordination.
• Clear written and verbal communication skills with the ability to work effectively across multiple stakeholders.
• Familiarity with project management or construction management software is preferred.
• Detail-oriented, dependable, and collaborative approach to daily work responsibilities.
