Position Overview

The HR Project Assistant is responsible for managing the end-to-end onboarding process for field employees, ensuring seamless system setup, asset provisioning, and compliance requirements from offer acceptance through completed onboarding. This role serves as the primary point of contact for new hires and hiring managers throughout the onboarding journey.

Key Responsibilities

Systems and Data Management

  • Process and validate all employee data entry across multiple HRIS platforms
  • Configure system access and setup across all required platforms
  • Manage payroll system setup and benefits enrollment
  • Coordinate time and attendance system access
  • Setup project management and safety compliance systems

Asset Coordination

  • Coordinate procurement and delivery of all required equipment including mobile devices, laptops, and tools
  • Process safety equipment and uniform requests
  • Manage vehicle assignments when applicable
  • Coordinate access cards and key distribution
  • Track and monitor all asset provisioning timelines

Compliance Processing

  • Initiate and track drug screening processes
  • Process motor vehicle reports and background checks
  • Verify required certifications and licenses
  • Ensure completion of all safety documentation
  • Maintain compliance tracking systems

Communication and Coordination

  • Process incoming Onboarding Request Forms
  • Maintain regular communication with new hires and hiring managers
