Description
BASIC SUMMARY:
Perform the execution of proposal, business development and administrative functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Provide manager and executive staff with daily delivery expectations for internal and sponsor due dates.
  • Provide award notifications to team members once Consulting Agreements, Statements of Work and Project Change Orders are fully executed.
  • Coordinate signatures for client agreements.
  • Track and maintain proposals, client legal agreements and contracts. This includes evaluating if updates should be incorporated within the chosen corporate database and customer relationship management system on an agreed upon basis.
  • Assign inputs and reviews for the proposal development process and then follow-up internally with team members.
  • Perform daily activities of the proposal development process including interfacing with clients regarding RFP specifications, following-up with clients about outstanding deliverables, coordinating internal meetings and proposal reviews and submitting final proposal documents to clients.
  • Collaborate with Biostatistics and Data Management as assigned to define, prepare and manage Consulting Agreements, Permission Forms, Ballparks, Proposals, Statement of Works, and Project Change Orders.
  • Prepare organizational charts, meeting agendas, strategy meeting notes and assist with strategy meetings for proposal opportunities as needed.
  • Coordinate directly with vendors to request quotations and integrate those costs into proposals and change orders.
  • Provide follow-ups and notification updates for partnered vendors for upcoming and existing opportunities.
  • Ensure formatting for deliverables is consistent with proposal guidelines.
  • Ensure text within proposal is consistent with overall project study assumptions.
  • Perform any ad-hoc requests pertaining to but not limited to: cost comparisons, pipeline, utilization, department presentations, and analysis.
  • Maintain the corporate text repository by including approved text from previous proposals and updating previous text to ensure grammatical consistency.
  • Assist Business Development as needed with marketing activities.
  • Liaise with corporate legal counsel for legal document review and approval.
  • Establish and maintain effective business relationships with clients and co-workers.
  • Perform all other related duties as assigned.

Requirements
QUALIFICATIONS:
  • Education: Bachelor's Degree
  • Experience : A minimum of two years of Proposal and/or Contract development experience in a full service or data management Contract Research Organization or two to three years experience in Clinical Outsourcing at a biopharmaceutical company.
  • An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
  • Certification/Licensure: None.

  • Proficiency with MS Office applications including Word and Excel
  • Ability to develop budgets and clearly written proposals
  • Ability to conduct meetings in a professional manner
  • Strong negotiation skills

PHYSICAL DEMANDS:
  • While performing the duties of this job, the employee is regularly required to understand both written and verbal communication, type/work at a computer and sit for up to 90% of the workday.
  • Specific vision abilities required by this job include close vision and the ability to adjust focus.

WORK ENVIRONMENT:
  • General office working conditions, the noise level in the work environment is usually quiet.

COMMENTS:
  • This position may require domestic/international travel.
