Purpose of the role:
The Maintenance Department Administrative Assistant provides administrative support to ensure the efficient operation of the Maintenance Department. This position serves as the first point of contact for internal and external inquiries, delivering exceptional customer service while supporting the department's daily workflow and overall productivity.
Essential Duties:
  • Answer incoming calls and respond to inquiries promptly, ensuring timely communication and a positive experience for staff and customers.
  • Acts as primary retail contact in storefront for walk-in customers.
  • Create, process, and track work orders accurately, resulting in efficient completion of maintenance requests and reduced downtime.
  • Dispatch Maintenance Technicians effectively to high-priority tasks, maximizing team productivity and timely service delivery.
  • Assist with after-hours calls as needed.
  • Maintain organized and up to date records of work orders and technician assignments.
  • Provide professional customer service by addressing questions and concerns promptly, improving satisfaction and trust in the Maintenance Department.
  • Facilitate clear communication between staff, vendors, and other departments, supporting collaborative problem solving and efficient project completion.
  • Cross train on AppFolio Rental Management Software to assist as needed.
  • Support the Director of Maintenance and Maintenance Dispatcher with administrative projects, contributing to process improvements and overall departmental efficiency.
Minimum requirements:
  • High school diploma or equivalent; additional administrative or office training preferred.
  • Previous experience in an administrative or clerical support role, ideally within facilities or maintenance services.
