Job description

This is a contract role with an estimated end date in April, 2027
JOB SUMMARY
This role provides administrative, program, and call-centre support for the Nursing-Only programsย within Bayshore Specialty Rx. Responsibilities include coordinating patient appointments with theย scheduling team to ensure treatment regimens are followed, encouraging the use of Bayshoreย  pharmacies for patients receiving clinic-based treatment, and identifying and reporting adverseย events to Health Canada and the appropriate systems. The role also manages client referrals,ย scheduling and pharmacy requests, program communications, data entry and data integrity, andย  triages inbound call-centre inquiries by assessing, prioritizing, and either addressing or routing themย as appropriate.
DUTIES AND RESPONSIBILITIES
Act as a central resource liaison for program stakeholders, which include physicians, nurses, scheduling, clinic, patient support programs, and pharmacies.ย 
Proactively offer assistance to patients and advocate on their behalf.ย 
Provide updates to stakeholders as requested and required. Perform data-entry, answer inbound calls, make outbound calls, manage program e-mail inboxes, and fax software, general administrative functions.ย 
Triage program referrals, emails, communications, and tasks once entered into the CRM.ย 
Provide ongoing administrative help and support to Clinical Associate Program Manager, as needed.
Acquire data from primary or secondary data sources and maintain databases/ CRM systems.ย 
Participate in data integrity/file cleanup projects as requiredย 
Performing additional duties to include reconciliation of billing data, data entry, filing, obtaining, and obtaining/organizing supporting documentation including preparation of reports, spreadsheets and dashboards as needed; ensuring monthly timelines and targets are met.
Ensure deadlines are met for all reporting and service commitments.ย 
Assist with training and mentoring of new staff
Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System.
Participate in proactive Health & Safety activities while performing all duties. Is responsible to notify immediate Supervisor of any Health & Safety risks or concerns.ย 
Maintain confidentiality of client and corporate information and discusses same only with appropriate Bayshore personnel.ย 
Participate in ongoing internal and/ or external continuing education activities.ย 
Complete other tasks as requested

QUALIFICATIONS
Bilingualism in English and French is considered an asset.
Experience in the insurance, healthcare, or pharmaceutical industry is an asset.
Experience working with insurance data is an asset.ย 
Strong customer service, communication, problem solving skills required.ย 
Exceptional interpersonal skills and ability to work independently and as part of a team.
Organized with a high attention to detail.ย 
Excellent verbal and written skills in English.
Ability to work in a high paced environment.ย 
Ability to adapt to change quickly.
Expert knowledge of Microsoft Office (Excel, Word, Outlook)
Post-secondary education or equivalent.
At least one year of recent experience in insurance or pharmaceutical customer service-related role
At least one year of recent experience in an administrative role.
