Position Information
Job Title Graduate Programs of Nurse Anesthesia - Administrative Assistant Position Summary
The primary role is to provide administrative support to the Graduate Programs of Nurse Anesthesia (GPNA). Responsible for processing and maintaining GPNA applicants and student files, assist students in various clinical compliance administrative tasks, and support other admin assistants to provide an efficient GPNA office. Support assigned GPNA faculty with their tasks. Present a helpful attitude to prospective applicants, current students, faculty, and staff.
Essential Duties and Responsibilities
Collaborate with designated university admission personnel to recruit prospective GPNA students.
Provide reports on current admission data.
Assist in organizing and planning GPNA program orientations.
Assist in preparing orientation packets, and arrangements fall orientation.
Maintain a positive, friendly, and professional work environment.
Maintain orderly files and forms for program GPNA operations.
Manage incoming and outgoing office mail.
Manage telephone calls during all regular office hours.
Record and distribute messages to GPNA faculty.
Provide reports on current program projects assigned.
Perform and assist in general office duties.
Track GPNA students, updating mailing and telephone information for the programs.
Assist graduate students in various compliance needs required prior and during clinical residency.
Assist projects and perform tasks assigned by assigned faculty.
Education, Certifications and/or Licenses
Bachelor's degree preferred; High school diploma or equivalency required
Experience
Two or more years of office experience, preferably in a higher education setting.
Some events planning and coordination strongly desired.
Knowledge, Skills & Abilities
Demonstrated administrative ability to plan and execute programs and activities, to secure cooperation from individuals and organizations, and to coordinate the activities of such individuals and organizations.
Proficient in Office suites including Word, Excel, PowerPoint, and Microsoft Outlook
Ability to work cooperatively and productively in a highly active setting.
Proven interpersonal skills to provide support in a high-profile office with tact and diplomacy.
Ability to type 40 wpm.
Knowledge of standard office practices and procedures.
Knowledge of standard filing procedures.
Ability to adhere to University & departmental policies and procedures.
Ability to be discrete in handling confidential matters, while complying with FERPA regulations.
Ability to work effectively with a wide range of constituencies in a diverse community.
Ability to work independently in the most efficient manner with minimum supervision.

Ability to plan, prioritize tasks and meet deadlines while working on multiple tasks.
