This role functions as a key program coordination and controls resource, responsible for consolidating information across multiple projects and stakeholders, ensuring accuracy and consistency in reporting, and supporting decision-making through reliable data and clear visibility into program activities. The Communications & Stakeholder Coordinator plays a critical role in enforcing process discipline, maintaining audit-ready records, and enabling efficient program-wide coordination by bridging communications, stakeholder tracking, and project controls functions.

RESPONSIBILITIES

  • Provide direct support to sub-program and project teams to ensure accuracy, consistency, and quality of agendas, meeting materials, and stakeholder documentation, including adherence to standardized formats, governance requirements, and documentation best practices.
  • Support the execution of communication plans by cross-checking and validating all content against internal schedules, program-level data, and delivery timelines to ensure accuracy and alignment with GTAA protocols and stakeholder requirements.
  • Work closely with PACTs scheduling team to ensure all construction activities impacting stakeholder programs are accurately captured, validated, and maintained within the internal master calendar.
  • Attend (as required) and track internal and external meetings across construction, and operational phases, ensuring the timely submission, distribution, and accurate documentation of meeting minutes for both stakeholder and program-wide activities.
  • Assist with preparing materials for community, internal and stakeholder meetings, program updates, briefings, and public information sessions.
  • Support planning and logistics for public engagement activities, including stakeholder events, open houses, special events, and terminal-facing communication initiatives.
  • Monitor and track day-to-day communications deliverables, ensuring all materials (construction documentation, signage, digital content, mitigation, and public safety messaging) are accurate, aligned, and appropriately linked within the overall stakeholder collaboration and governance environment.
  • Monitor and document inquiries, coordinating responses with Toronto Pearson teams to ensure timely, respectful, and accurate follow up.
  • Support the preparation of monthly reports by drafting content and consolidating metrics that enable effective stakeholder governance and program oversight, working with sub-program teams.
  • Support tracking and auditing of stakeholder interactions and maintain records related to sentiment, engagement, and potential risks according to project governance requirements.

WORKING CONDITIONS

At times, operational needs may require work outside these hours, with reasonable notice provided. All schedule or oncall adjustments will comply with applicable employment standards legislation. • Highly organized, proactive, detail-oriented, and able to prioritize tasks effectively.
  • Strong communication and coordination skills, with the ability to support effective communication planning by ensuring stakeholder program details, milestones, and dates are accurate, clear, and consistently represented.
  • Understanding of construction-related impacts (noise, access, traffic) and how communications can support mitigation efforts, as well as promotion of Accelerator progress.
  • Experience supporting or coordinating engagement activities, such as open houses, community meetings, or stakeholder sessions.
  • Ability to work collaboratively in a multi-partner, high-security, and fast-paced environment.
