About this role

We are recruiting for an Administrative Assistant to join our Victoria office.

The Administrative Assistant will provide administrative support to the Pre-construction team in the preparation and management of job tenders/bids.

Here's how your role will strengthen our team.

Your responsibilities

  • Support the team in the management and submission of tender bids, including tracking deadlines, compiling necessary documentation, and ensuring all parts of the bid are complete and accurate
  • Enter tender details and information into database
  • Research tender opportunities from external sources
  • Prepare and set-up project information in construction management system
  • Organize documents to ensure they are easily accessible
  • Maintain and organize document packages in shared drives and CRM
  • Assist in monitoring the status of bids and provide regular updates to team members on progress,
  • Document control including helping maintain and organize most current information in shared job folder sites

Your experience and skills

  • High school diploma
  • Minimum 2 years' experience in an administrative role
  • Work experience in the construction industry
  • Work experience in the electrical industry an asset
  • Highly organized and detail oriented
  • Experience with document management systems
  • Strong research skills
  • Able to quickly learn new software programs
  • MS Office (Word, Excel, Outlook). Procore, MS Dynamics CRM, SharePoint an asset
