JOB DESCRIPTION
Title: Administrative & Program Support Assistant
Department/Division: Social Services
Status: Part Time | Monday-Friday, 8:00 AM - 1:00 PM
Salary: Hourly / DOE
Supervisor: Social Services Director
Subordinates: Not Applicable
This position is grant-funded and aligned with federal Title IV-E Prevention and Child Welfare program requirements.
POSITION SUMMARY:
The Administrative & Program Support Assistant provides administrative, clerical, and programmatic support to the Director of Social Services. This role supports Title IV-E eligible activities including documentation, reporting, coordination, and compliance tracking necessary to meet federal, state, and tribal requirements.
JOB DUTIES AND RESPONSIBILITIES:
  • Provide administrative support to the Director of Social Services
  • Track tasks, deadlines, and deliverables related to Title IV-E and other grants
  • Maintain organized grant and program files
  • Support data collection and documentation for Title IV-E reporting
  • Assist with preparation for audits, monitoring, and site reviews
  • Coordinate meetings, trainings, and prevention-related activities
  • Maintain confidentiality and compliance with federal and tribal regulations

KNOWLEDGE, SKILLS, CERTIFICATIONS AND ABILITIES:
Title IV-E Alignment
  • This position supports allowable Title IV-E administrative activities including:
  • Program planning and coordination
  • Case documentation support
  • Data tracking and reporting
  • Quality assurance and compliance monitoring
  • Training and prevention program support

MINIMUM QUALIFICATIONS:
  • High school diploma required; Associate degree preferred
  • Minimum two years administrative experience
    Valid California Driver's License and clean driving record
  • Must acknowledge and agree to maintain a Drug-Free workplace (including marijuana) as a condition of employment with the Pala Band of Mission Indians.
  • Must pass pre-employment and random drug testing during employment.
  • Must successfully pass a Fingerprint-based background check of potential employees, volunteers, and contractors pursuant to Public Law 101-630 - Indian Child Protection and Family Violence Prevention Act.
  • Indian preference will apply. The Pala Band of Mission Indians will give hiring preference to fully qualified applicants who are Pala Tribal Members.

OTHER REQUIREMENTS:
All employees are expected to follow the Tribal Employee Handbook of the Pala Band of Mission Indians and must adhere to any additional applicable addendums.
