JOB SUMMARY:

The Program Assistant II will model an outstanding customer service to all stakeholders and is under the direct supervision of the Program Coordinator - Facilities. The Program Assistant II position assumes responsibility for assisting with daily function of the Facilities Department. This position is primarily responsible for performing a wide range of clerical and outreach functions that supports services to the Facilities Department.

DUTIES AND RESPONSIBILITIES:

  • Performs clerical duties such as answering phone calls, typing, using a computer and associated office programs, tracking information electronically, copying and scanning documents.
  • Customer service including interactions with vendors.
  • Assists with creating, organizing and maintaining files.
  • Assist with ordering necessary supplies for facilities department and janitorial supplies for other KCAO sites, as needed.
  • Keeps track of facilities work orders and updates facilities staff.
  • Will manage work order system by opening /closing and coordinating work orders and making copies of work orders for staff.
  • Coordinates and keeps track of KCAO vehicle reservations, mileage, logs, maintenance and assist the Fleet Assistant when needed.
  • Participate in staff meetings and attend other meetings and trainings as directed.
  • Processes purchase order request and check request. Secures, coordinates, and organizes KCAO building keys and vehicle master keys. Assist Program Coordinator and Facilities Director as needed.

EDUCATION/EXPERIENCE:

  • High school diploma (or equivalent) with two or more years of clerical experience in an office setting.
OTHER REQUIREMENTS:
  • Travel and attend out of area meetings and conferences as required per the funding source(s).
  • Work variable hours and days, including those outside regular Monday through Friday, 8 a.m. to 5 p.m. business hours.
  • Meet and maintain KCAO hiring requirements which include:
  • Criminal Record Clearance including California DOJ, FBI, Child Abuse Centralized Index (CACI), National Sex Offender Public Website (NSOPW), and the California Sex and Arson Registry (CSAR) (Megan's Law). Reliable, insured transportation and valid Driver License.
  • Motor Vehicle Report (MVR) acceptable to KCAO's vehicle insurer.
  • Health examination with tuberculin clearance.
  • Ability to be contacted outside of regularly scheduled work hours in case of emergency.
