Position Summary
The Program Assistant plays a key role in supporting the School of Graduate and Professional Studies and helping programs run smoothly each day. This position is ideal for someone who enjoys staying organized, working with a variety of people, and making a meaningful impact behind the scenes.
Serving as a central point of support for the department chair and program directors, the Program Assistant helps coordinate daily operations, manage administrative processes, and contribute to a positive experience for students, faculty, and staff. Success in this role comes from strong attention to detail, excellent communication skills, and the ability to keep multiple priorities moving forward in a fast-paced academic environment.
Essential Functions
  • Provide administrative support for search committees by scheduling meetings, making arrangement for candidates (zoom or in person),ensuring committee members have access to materials, etc.
  • Create, provide, and process agreements for adjunct faculty; All agreements should be processe done week before classes start.
  • Provides initial training on various systems to adjunct faculty.
  • Be the point of contact for adjunct faculty and direct them appropriately.
  • Adjunct payout processing.
  • Collect, place, and monitor book orders.
  • Prepare invitations, manage logistics, and take minutes for the department.
  • Monitor course enrollments and alert faculty and leaders about the need to add or cancel classes.
  • Maintain and create course class offerings in Colleague for each semester.
  • Initiate payments, track receipts, and reimbursements.
  • Support faculty in the organization and implementation of student events and activities.
  • As needed, support faculty in communicating with students and tracking student activities.
  • Support faculty in the organization and implementation of community events and activities.
  • Collect syllabi from faculty on a semester basis.
  • Maintain files on SharePointfor the department.
  • Initiate maintenance requests as needed.
  • Order office supplies for programs when needed.
  • Support accreditation processes.
  • Retrieve and sort departmental mail.
  • Travel to various regional sites as needed.
  • Process IDEA Evaluation Summary Report
  • Assist and attend academic events.
  • Participates in required training.

Physical Demands:
  • This position typically functions indoors in an office environment with light to moderate noise associated with business office equipment. The position may involve travel for meetings and events.
  • While performing the duties of this job, the employee is regularly required to: remain in a stationary position 80 % of the time, be able to move about inside the office to access file cabinets/office machinery etc., operate a computer and keyboard and other office productivity machinery such as calculators/copy machines/printers. The employeeis occasionally required toposition self to reach items on the floor and in high cabinetry.
