The Program Assistant provides administrative, clerical, and office support with a high degree of accuracy, responsiveness, and discretion.
Administrative Support: Prepare correspondence, reports, and related projects using computer software. Make appointments and maintain scheduling. Attend meetings and record information. Assist with department projects; input data, organize, and disperse reports and files such as monthly reports, travel requests, and meeting notes; analyze reports, light bookkeeping, and filing. Maintain files and appropriate records of correspondence, special projects, literature, and other documents. Run errands and complete special projects as needed.
Customer Service and Communication: Receive and relay telephone messages accurately and promptly return phone calls regarding the organization and the applicant process. Greet guests and volunteers in a professional and friendly manner and provide quality customer service.
Application and Program Support: Participate in client interviews and maintain confidentiality throughout the application process. May assist with graduate and/or puppy program when necessary, including processing applications, requesting records, answering questions, and completing ID cards. Assist instructors with team training class needs.
Mail and Inventory Management: Assist with outgoing mail via UPS, USPS, Federal Express, and other overnight and courier services. Maintain, review, and order supplies.
Dog Care Support: May assist with dog care including grooming, exercising, and transporting dogs to and from kennel and training areas.
Team Collaboration: Be accountable not only for direct responsibilities outlined in this job description but also serve fellow staff and other constituents with whom the position interacts. Ensure actions and communications follow core values.
Qualifications
To be successful in this role, candidates should possess the following:
Must Have:
  • Able to perform several tasks concurrently and possess strong time management and organizational skills.
  • Excellent verbal and written communication skills, both internally and externally.
  • Able to organize and maintain detailed records, complete necessary paperwork, and meet deadlines.
  • Able to use computers, including word processing, spreadsheets, email, customer relations management databases, and internet-based phone systems.
  • Knowledge of office equipment including, but not limited to, copying, scanning, and uploading documents.
  • High School diploma, GED, or equivalent required, or a combination of education and experience that would lead to the successful performance of the essential functions of the role.
  • Able to bend, stoop, kneel, walk, reach with hands and arms, and lift and/or move up to 50 pounds.
  • Able to work occasional overtime, including evenings and weekends, as needed.

Nice to Have:
  • Previous administrative or office experience preferred.
  • Dog handling experience preferred.
  • Prior experience working with people with disabilities desired.

Schedule: Full-Time. Monday-Friday 8am-5pm.
Compensation
  • Salary: $ $19.25-$20.50 per hour
  • For internal candidates, compensation will be set within the posted wage range for the role, in consideration of internal equity and the scope of the position.
