Job description

Under the direct supervision of the Asset Manager, this role performs administrative and clerical functions to support property management operations. This position also includes related duties as required.All responsibilities must align with the mission, strategic goals, and ONE-JCHA values of the Jersey City Housing Authority (JCHA).


ESSENTIAL RESPONSIBILITIES:
The Occupancy Clerk Typist plays a vital role in the successful day-to-day operations of the site. This highly visible position serves as the initial point of contact for residents, applicants, agency representatives, and other third parties. The role requires a professional and service-oriented demeanor, capable of performing under pressure and with minimal
supervision.


This multifaceted position involves duties as a typist, receptionist, file manager, recordkeeper, stock clerk, and administrative support staff. The Clerk must be familiar with JCHA policies, internal processes, and applicable federal and state regulations that govern public and assisted housing programs.


Key responsibilities include:
Maintains accurate, complete, and up-to-date office records, including general, resident, personnel, and manager-specific files.
Operates a multi-line telephone system: answers calls, responds to routine resident inquiries, resolves minor issues, and takes detailed messages as necessary.
Coordinates the work order system: generates work orders, logs monthly activity,
compiles statistical data, and inputs relevant figures into monthly Asset Manager reports.
Types and formats office correspondence, including letters, memos, legal notices, and flyers for resident communication.
Monitors resident rental payments and promptly reports discrepancies to supervisors.
Assists in the execution of annual resident re-certifications according to JCHA procedures.
Assists with waitlist maintenance, schedules applicant interviews, and responds to applicant inquiries.


SECONDARY RESPONSIBILITIES:
Tracks resident rental agreements and prepare monthly status updates for supervisory staff.
Assists in compiling and typing statistical and operational data for various management reports.
Updates, revises, and creates office forms and form letters under supervision.
Assists in ordering and maintaining office supplies and materials, as directed.


POSITION REQUIREMENTS &QUALIFICATIONS:
Education/Experience/License:
High School Diploma or equivalent (GED) required.
Minimum of one (1) year of administrative and/or clerical experience.


Knowledge, Skills, and Abilities:
Proficiency in Microsoft Word; ability to type a minimum of 25 words per minute.
Strong verbal and written communication skills with a courteous and professional demeanor.
Ability to meet deadlines and prioritize tasks effectively.
Ability to understand, remember, and execute oral and written instructions.
Self-directed with the capacity to handle responsibilities with minimal day-to-day oversight.
Fluency in reading, writing, and speaking English is required. Bilingual ability in English and Spanish is highly desirable.
