POSITION: Product Configuration Analyst
LOCATION: Supply Chain-World Headquarters
REPORTS TO: Product Configuration Management Manager
Scope:
The Product Configuration Analyst (PCA) role falls under the department of Product Configuration Management (PCM). PCM is responsible for the development, creation and maintenance of all part codes and bills of materials within our global databases and ERP systems (BPCS and M3). The PCA ensures that part codes are developed in an accurate and timely manner and that global data integrity is maintained in all databases regarding item master data. PCAs oversee the PCM portion of Change Control System Documents (CCDs), which are assigned to them as updates to BPCS and M3 as required by CCD implementation and GDP updates. Other areas of expertise regarding PCAs involve translation and maintenance of the myVictaulic (E-Commerce) system (VCOA and VCOC), for both US and Canada, drawing and specification revision updates to all part codes and working with Product Management, Engineering, Operations and Customer Care to ensure data integrity.
PCM is recognized as the center of knowledge for part code and BOM development and shares this information with key stakeholders to enable effective execution globally in both the BPCS and M3 systems and all other part code databases.
Responsibilities:
Part Codes and Bills of Materials - BPCS/M3
  • Create part codes and BOMs for daily part code requests in a timely manner to support stakeholders.
  • Distribute and review daily part code and BOM addendums to associated departments.
  • Generate matrixes for product attributes - for example, such as product class, size, style, metal finish, gasket grades.
  • Develop subject matter expertise in Victaulic product lines to ensure accuracy of part code descriptions.
  • Initiate drawing and specifications revisions in conjunction with changes made in the GDP.
  • Produce and update the department processes and procedures for part code/BOM creation and execution.
  • Lead ERP implementation on product obsolescence and part code deletions.
  • Measure part code and BOM accuracy with continuous improvement on root cause errors.
  • Utilize BI/SQL tools for reporting to identify potential system changes and updates.
  • Test and evaluate system upgrades and changes as requested by IT.
  • Support other departments on projects which may be BPCS/M3 related.
  • Evaluate part codes created globally for accuracy and definition, check cross references/aliases, and notify other part code creators when changes need to be made.
  • Facilitate, when required, with part code creation for all global regions.
  • Create and facilitate M3 Part Code Attachment form when required for Mexico requests.
  • Responsibility for assigned products.

My Victaulic/E-Commerce (US/Canada)
  • Substantiate part code/products in myVictaulic reflect current price book offerings for VCOA/VCOC.
  • Develop categories and fly-outs, representing a logical product breakout for customers to order Vic product.
  • Create attribute matrixes to convert Victaulic part code digits to approved descriptive words and phrases as used in Victaulic literature, price lists and Engineering submittals.
  • Interface with Customer Care personnel on non-price book/POA items added to My Vic - to be viewed by internal users or selected customers only.
  • Manage and maintain status codes to be used in the BPCS system for both internal notification and viewing on customer facing documents.
  • Merge with Marketing, Product Managers and Customer Care personnel on timing of new product launches.

Change Control Documents (CCDs)
  • Certify CCDs for complete information and description of change as related to PCM.
  • Implement all actions required for updating Victaulic's operating systems, as pertains to part codes and bills of materials is completed.

Data Projects
  • Work on data clean up involving ERP systems and others, such as MDM (Syndigo) and E-Commerce
  • Work on special projects such as Mendix Part Code creation for M3 as assigned by Data Integrity Lead.

KPIs and Performance Factors:
  • Data Integrity and Research - All item master data should be entered by the PCA correctly upon first entry into all systems. All data missing or in question should be researched by the PCA with the appropriate stakeholders to ensure the part code/BOM is complete, correct, and ready for use by the requester.

  • Timely Response - All requestors for information via email, phone or in person should be responded to in a timely manner by the PCA. All requesters should receive a reply the same day and all part code/BOM requests should be completed within twenty-four hours of request.

  • Support of Initiatives for PCM and overall Supply Chain- Measurable contribution by all team members to contribute to yearly team goals and objectives for PCM, SCM and corporate initiatives, such as NPI.

  • Process Improvement - Develop and implement innovative and effective solutions. Identification and drive for improvements in processes that others consider optimized and creative are essential.

Qualifications: (Education, Experience, and Personal Attributes)
  • Associate or bachelor's degree in business, Engineering, or Supply Chain Management from an accredited college or university is preferred.

  • Minimum of 2 years of relevant, progressive Part Code and Bill of Materials, or equivalent, work experience and expertise in a manufacturing environment; involvement and understanding of Kanban, MRP planning systems a must; manufacturing experience in machining and assembly of complex product required.

  • Excellent working and practical knowledge of Excel, Word, Access, PowerPoint.

  • Able to read and interpret product drawing notes and dimensions and convert these to part code formats.

  • Capability to operate in global/multi dimensional environment - understanding ANSI, DIN, JIS, Metric design data.

  • Excellent communication skills at all levels - clearly articulate position with clarity at all levels of the organization.
  • Ability to work with key stakeholders in multiple global locations and at various levels.
