Job Description

Position Summary

The Engineering Services Specialist is a professional responsible for independently managing site engineering support services, facilities operations, and administrative coordination. This role is responsible for prioritizing project demands, and drives process improvements to ensure efficient, compliant, and cost-effective operations. The position serves as a key liaison across engineering, operations, finance, and external partners while owning critical site services and facility-related programs.

Key Responsibilities

  • Lead requisitioning and invoice processing activities, ensuring accuracy, timely approvals, and alignment with budget expectations.
  • Oversee supplier onboarding processes, ensuring compliance with procurement and corporate requirements.
  • Prepare, review, and manage supplier contract documentation, collaborating with legal and procurement teams to ensure adherence to company standards.
  • Manage annual R&D tax credit data collection and cross-functional discussions.
  • Lead annual fixed and leased asset inventory audits, including quarterly idle and impairment asset reviews; identify discrepancies and recommend corrective actions.
  • Oversee onsite facility maintenance contractors, holding vendors accountable to service levels, safety requirements, and contractual obligations.
  • Manage the preventative maintenance (PM) for facility equipment; authorize and prioritize repair activities as needed.
  • Develop and prepare facility capital expenditure requests; manage approved projects from initiation through completion, including scope, budget, and timeline oversight.
  • Drive facility maintenance planning that includes renovations, refurbishments, and continuous improvement initiatives.
  • Source, evaluate, negotiate, and manage service provider contracts (e.g., janitorial, landscaping, snow removal), ensuring cost efficiency and service quality.
  • Provide high-level administrative and logistical support for engineering and leadership meetings, including agenda coordination and follow-up actions.
  • Act as Site Safety Coordinator, promoting a proactive safety culture and ensuring compliance with internal policies and regulatory requirements.
  • Manage inbound and outbound shipping logistics, including UPS and LTL freight coordination, ensuring cost-effective and timely delivery.
  • Serve as a primary liaison for site-wide engineering services, proactively resolving employee inquiries and operational issues with minimal supervision.
  • Identify process improvement opportunities and implement solutions to enhance operational efficiency and service delivery.
  • Maintain and optimize inventory management systems for office supplies, safety equipment, and facility-related materials.
  • Perform additional duties and lead special projects as assigned, exercising independent judgment and initiative.

Required Skills & Competencies

  • Strong written and verbal communication skills with the ability to influence stakeholders across multiple levels of the organization.
  • Advanced organizational and project management capabilities with strong attention to detail.
  • Demonstrated critical thinking and problem-solving skills; ability to make independent decisions in a fast-paced environment.
  • Proven ability to manage multiple priorities, deadlines, and competing demands with minimal oversight.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with ERP and procurement systems such as SAP and Coupa strongly preferred.
  • Strong financial and analytical acumen related to budgeting, invoicing, and capital project tracking.
  • High level of integrity, professionalism, and discretion when handling confidential information.
  • Ability to lead cross-functional coordination efforts and manage external vendors effectively.

Qualifications

  • Bachelor's degree in Business Administration, Engineering, Operations preferred
  • Management, or a related field preferred (or equivalent experience).
  • Minimum 5+years of progressively responsible experience in engineering support, facilities coordination, operations, or a related environment.
  • Prior experience managing projects, vendor relationships, and budget-related activities strongly preferred.
  • Experience in a manufacturing or engineering-driven environment is highly desirable.

A reasonable estimate of the current range is $66,800 - $87,000 + benefits. The range displayed on each job posting reflects the minimum and maximum target salaries for the position across all US locations. Withinthe range, individual pay is determined by job-related skills, experience, and relevant education or training. At Novolex, it is not typical for an individual to be hired at the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case.
