Job Summary:

The Procurement Assistant will support the procurement team with purchasing materials, coordinating deliveries, preparing purchase orders, tracking vendor compliance, and maintaining records. This role plays a key part in ensuring smooth operations by helping secure the materials and services needed to meet project deadlines and company standards.

Primary Duties and Responsibilities:

  • Assist in sourcing materials, equipment, and subcontracted services for construction projects.
  • Prepare and issue Requests for Quotes (RFQs), purchase orders (POs), and procurement documents.
  • Track orders to ensure on-time delivery and assist with expediting when necessary.
  • Maintain accurate procurement logs, spreadsheets, and vendor files.
  • Help perform vendor pre-qualification, collect insurance certificates, and track compliance documentation.
  • Support regular communication between Project Managers, Superintendents, Supply Chain Manager, and vendors regarding procurement status.
  • Work with Accounts Payable and Project Controls to verify invoices, delivery tickets, and purchase order reconciliations.
  • Help manage procurement reporting and updates for ongoing projects.
  • Assist in handling changes, returns, or warranty claims with suppliers as needed.
  • Perform other administrative and procurement-related duties as assigned.

  • Basic understanding of purchasing processes, supplier communications, and material tracking.
  • Strong organizational skills with attention to detail.
  • Ability to multitask and work efficiently in a fast-paced environment.
  • Good communication skills, both verbal and written.
