Process Success Manager
Department: Integration
Overview:
Ryan Fireprotection is a growing, people-first organization built on safety, service, and doing the right thing. As we expand through strategic acquisitions and continue developing our branch network, maintaining operational consistency across every location is central to how we serve our customers and support our teams.
The Process Excellence Manager is a newly created role at the heart of that effort. Reporting directly to the EVP of Integration, this person will build and govern Ryan's company-wide SOP framework, establishing the standards, workflows, and governance structures that keep every branch, team, and newly integrated company operating from the same playbook. You'll work at the intersection of operations, systems, and continuous improvement, partnering closely with our Directors of Integration, Branch Leadership, Learning & Development, and Quality.
This is a build role. Key Responsibilities:
1. SOP DEVELOPMENT & GOVERNANCE
  • Own the company-wide SOP library; creation, version-control, publish, and maintain process documentation across all functional areas and branches.
  • Build and manage the 'SOP for SOP': the governing framework for how SOPs are requested, drafted, reviewed, approved, and revised. This is the standard everything else is built on.
  • Ensure stakeholder review gates are built into every SOP creation and revision so that process changes are coordinated across the teams they affect.
  • Partner with L&D to structure SOPs for training delivery, and route compliance-sensitive SOPs through the Quality team for review and approval before publication.

2. ACQUISITION PROCESS DISCOVERY & INTEGRATION SEQUENCING
  • Lead process discovery at newly acquired companies assessing current workflows, systems, staffing models, and operational practices before integration begins.
  • Identify which acquired processes should be adopted into the Ryan standard, which should be replaced, and which require a phased transition, accounting for regional or division level nuances where they exist.
  • Build integration sequencing plans that define what to align, in what order, and on what timeline, balancing business continuity with the pace of integration.

3. INTEGRATION PLAYBOOK MANAGEMENT
  • Own and continuously improve Ryan's integration playbook; the governing document for how we onboard and integrate acquired companies across every functional area.
  • Incorporate lessons from each completed integration, ensuring the playbook reflects real experience and improves with each engagement.
  • Align playbook milestones with deal timelines in coordination with the Director of M&A, so integration planning begins as early in the process as possible.

4. SYSTEMS IMPROVEMENT & CHANGE COORDINATION
  • Identify opportunities to improve the systems Ryan uses to run its business, including Viewpoint, project management tools, estimating platforms, and related workflows.
  • Coordinating systems changes through Integration, ensuring any modification to a system-dependent process is accompanied by updated documentation and training before rollout.
  • Maintain a systems improvement log tracking requests, status, owners, and outcomes.

5. BRANCH CONTINUITY & PROCESS ADHERENCE
  • Monitor process adherence across all branches, acquired and legacy, to ensure consistent execution of Ryan standards over time.
  • Conduct periodic process audits or self-assessments across branches, identifying drift from standard and coordinating corrective action with the appropriate Directors of Integration.
  • Develop practical monitoring tools that help branch leaders and integration directors track process compliance without adding unnecessary administrative burden.

6. TRAINING & CHANGE MANAGEMENT SUPPORT
  • Maintain an active partnership with the L&D team, notifying them of all new and updated SOPs and collaborating on training development to keep documentation and training in sync.
  • Support Directors of Integration in delivering process training to acquired company staff, ensuring Ryan standards are communicated consistently across locations.
  • Apply change management principles to help acquired teams understand and adopt new processes, recognizing that change takes time and field buy-in matters.

Requirements:
Required
  • 5+ years of experience in process improvement, operations management, integration management, or a related field.
  • Demonstrated ability to create practical process documentation; SOPs, playbooks, or workflows that teams actually reference and follow.
  • Experience in construction, specialty contracting, mechanical, fire protection, or a similarly field-driven, project-based environment preferred.
  • Strong communication and facilitation skills, comfortable working across multiple teams, branch managers, corporate leadership, and acquired company staff.
  • Highly organized, with experience managing multiple concurrent workstreams and initiatives.
  • Ability to travel to branch locations and acquired company sites as needed, 50% travel anticipated.

Preferred
  • Background in post-merger integration, acquisition integration, or an Integration Management Office (IMO) environment.
  • Familiarity with Viewpoint (Vista), Procore, ACC, or similar construction ERP and project management platforms.
  • Lean, Six Sigma, or continuous improvement methodology training or certification.
