Job description

Principal Clerk Typist (NY HELPS)

12 MONTH POSITION- 37.5 HOURS PER WEEK

SALARY $41,188. โ€” Commensurate with experience

START DATE: October 1, 2026

LOCATION: District Offices

Typical work activities:

Visitor Management and Customer Service:

  • Greet guests, clients and vendors warmly as they arrive
  • Direct visitors to the correct staff member, department, or meeting room
  • Maintain security by logging visitors, issuing guest badges, and managing sign-in/sign-out sheets
  • Answer basic questions in person and provide general information

Communication and Telephone Handling:

  • Answer, screen and forward incoming calls on a multi-line system
  • Take accurate phone messages and relay them promptly to the right person
  • Check general company voicemails and/or emails and route inquiries accordingly

Mail and Delivery Coordination:

  • Receive, sort and distribute daily mail and interoffice mail
  • Handle incoming packages from couriers (FedEx, UPS, etc...) and notify recipients
  • Prepare outgoing mail for the Food Service and Facilities Departments

Clerical and Administrative Support:

  • Keep the reception desk clean, organized and presentable
  • Schedule meetings, update staff calendars, and reserve conference rooms
  • Perform basic data entry, photocopying, scanning and filing
  • Monitor office supply inventory and facilitate orders when stock runs low
  • Administrative Assistant to both the Director of Facilities and the School Lunch Manager
  • Assist the School Lunch Manager with invoice reconciliation and food service purchase orders
  • Assist the Director of Facilities with invoice reconciliation and facilities purchase orders
  • Other duties as assigned by the Director of Facilities and/or the School Lunch Manager

QUALIFICATIONS:

  • The NY HELPS (Hiring for Emergency Limited Placement Program Statewide) is a New York State program that allows civil service agencies to hire qualified permanent employees quickly and without requiring them to take a competitive civil service exam. It is created to help agencies fill critical vacancies by streamlining the appointment process, though candidates must still meet all other minimum qualifications for the job.
