Apparel Production Manager

Reports To: Chief Operating Officer/President | Full-Time | In-Office

The Apparel Production Manager is responsible for leading the apparel decoration department at Vox-Pop-Uli, overseeing embroidery, DTF printing, and heat press production. This is first and foremost a leadership and operations role. The right person for this position is an organized, communicative manager who holds their team accountable, protects the quality and commitments Vox-Pop-Uli makes to its clients, and speaks up when something isn't right. Hands-on apparel experience is a plus but not a requirement. What matters is the ability to lead operators, manage workflow, and ensure every order is completed correctly and on time.

Core Responsibilities
  • Production Management
    • Oversee daily operations across all apparel decoration methods: embroidery, DTF, and heat press
    • Manage production scheduling to ensure on-time delivery of all apparel orders
    • Review incoming orders for completeness and accuracy prior to job launch
    • Coordinate with Account Representatives and the traffic/CSM team on order details, timelines, and client expectations
    • Maintain quality control standards across all decoration methods
    • Hold authority to stop production on any job that does not meet quality standards
  • Stitch File Management & Embroidery Approval Workflow
    • Serve as the department owner of all embroidery stitch files (.DST and related formats)
    • Manage the end-to-end digitization process: submitting new logos for digitization, coordinating stitch-outs, obtaining client approval, and releasing approved files to production
    • Maintain an organized, accessible stitch file library. Every active file must be named, versioned, and stored according to department standards
    • Manage stitch-out revision cycles (color changes, sizing, placement) and ensure updated approvals are documented before re-entering production
    • Communicate stitch-out status clearly with Account Representatives and flag pending approvals that could impact delivery timelines
  • Team Leadership
    • Directly supervise Apparel Specialists (Embroidery, DTF/Heat Press) and any additional apparel department staff
    • Set clear expectations for quality, output, and professional conduct and hold the team to them
    • Ensure finished goods are properly folded, organized, and handed off to fulfillment in good order
    • Foster respectful, collaborative communication across departments including fulfillment and shipping
    • Address performance and conduct issues directly and promptly
    • Conduct regular one-on-ones and facilitate cross-training across decoration methods
    • Onboard new apparel team members and ensure adherence to department SOPs
  • Equipment & Inventory
    • Oversee maintenance schedules for commercial embroidery machines, DTF printers, and heat press equipment
    • Coordinate with vendors for supplies, thread, backing materials, transfer films, and blank garments
    • Manage department inventory levels and flag reorder needs proactively
    • Troubleshoot equipment issues and raise repairs as needed
  • Process & Systems
    • Develop, document, and maintain SOPs for all apparel production processes
    • Track production metrics including output volume, turnaround time, and error/rework rates
    • Input and manage job details in NetSuite; ensure accurate and timely sales order updates
    • Identify and implement process improvements to increase throughput and reduce waste
    • Collaborate with sales and operations leadership on capacity planning and department growth
Required Qualifications
  • 3+ years of experience in a production, operations, or team management role
  • Proven ability to lead and hold a team accountable in a fast-paced environment
  • Strong organizational skills with the ability to manage multiple jobs simultaneously
  • Clear, direct communicator who speaks up when something is off & follows through
  • Ability to read and interpret work orders and production specs
Preferred Qualifications
  • Hands-on experience in apparel decoration (embroidery, DTF, heat press, or combination)
  • Familiarity with NetSuite or similar ERP/production management systems
  • Experience building or maintaining production SOPs
