Practicum Assistant

Under the supervision of the practicum administrator, the student services program coordinator will initiate, organize, complete, and document tasks for the team and will provide assistance to the department. The coordinator will work daily to prepare necessary documentation and will communicate with practicum team, students, and sites to meet needs for individual student practicums and clinical graduation requirements.

Requires a bachelor's degree in a job related field and 1 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Self starter with familiarity to database software and standard office software. Ability to plan and organize work activities effectively, to prioritize task completion according to specific deadlines and objectives. Exercise judgement and discretion in interpreting and applying policies and procedures.

Provides daily support for practicum administrators in the Montgomery Speech and Hearing Clinic by completing administrative/organizational functions, assisting in the management of practicum placement related documentation, and effectively communicating with practicum administrators and students. Assists the practicum administrators in maintaining records of both student requirements and practicum rotations, allowing administrators to meet with students to discuss practicum process and placements as well as maintain relationships in good standing with practicum sites.

Communicates effectively and professionally with external practicum sites. Assists in researching practicum site onboarding requirements, communicating with students about requirements, tracking requirement completion, and sending completed requirements to practicum sites. Responsible for documenting supervisory requirements of practicum supervisors and communicate with them regarding requirement completion. Serves as the supplier liaison for practicum supervisors receiving stipends. Sends regular communication to practicum sites/supervisors and potential employers on behalf of the practicum administrators.

Serves as the back-up to complete travel documents for the department and labs to include RGP and student and non/employee travel and travel for faculty searches using a travel card. Assists with logistics for faculty searches. Obtains travel and expense proxy to complete necessary purchases for department and research professors. Serves as back-up for cash advances. Completes expense reports for program and travel card purchases. Orders and lists textbooks on the COMD webpage.

Completes reimbursements as necessary for the department. Serves as supplier liaison, conduct surveys, process all focus group incentives, and honorariums. Manages the department USC Marketplace. Works with other staff to maintain departmental calendars and publicize meetings, news and events. Takes faculty and clinic meeting minutes. Submits IT, UTS, and Facilities tickets as requested. Maintains departmental bulletin boards and copy machines. Distributes departmental mail and completes other tasks as needed.
