Job description

Medical Office Practice Manager - Warren, Michigan - Full-Time


Responsible for working with the Physician-in-Charge to oversee the clinical and administrative aspects of the clinic practice, including practice profitability and revenue goals.  This includes accountability for clinic quality of care, customer satisfaction, staff satisfaction, productivity, revenue enhancement, managed care performance, staff leadership, and ensuring adequate patient access.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Directs internal practice operations, creates benchmarks, tracks and reports progress, researches process improvements/efficiencies and implements changes. 
  • Partners with the Physician-in-Charge to develop the vision and direction of the practice in alignment with the practice priorities.
  • Ensures the highest quality of care is delivered to patients by, reviewing patient care quality and developing needed action plans.
  • Reviews practice risk assessments regularly.
  • Monitors continuing medical education for the practice team.
  • Drives continuous improvement in patient satisfaction. 
  • Monitors with the Physician-in-Charge the financial performance and annual budget of the practice.
  • Works with Physician-in-Charge to develop cost-effective staffing and operations.

  

 

MANAGEMENT AND COMMUNICATION RESPONSIBILITIES:

 

  • Manages practice staff, including hiring, training, supervising, evaluating, disciplining, and separation.
  • Fosters a positive, productive work environment to attract and retain staff, providers, and patients.
  • Works closely with the Physician-in-Charge and other practice supervisor to ensure appropriate staffing and competencies.
  • Leads orientation and training programs for new staff and providers as directed by the physician-in-charge.
  • Reviews staff and provider satisfaction date with Physician-in-Charge and develops improvement plans.
  • Partners with Human Resources and Physician-in-Charge to manage personnel matters.
  • Contributes to the evaluation and improvement plans for Physicians/APNs.
  • Coordinates provider scheduling with Physician-in-Charge to meet operational needs.
  • Maintains cooperative relationships with staff, patients, and vendors; handles escalated issues as needed.
  • Leads provider and staff meetings to gather feedback, ensure patient access, and build team collaboration.
  • Ensures that the practice complies with all federal, state, and safety regulations in conjunction with the compliance department.
  • Maintains physician documentation and coding audit program.
  • Coordinates services for the practice and supports the implementation of new service lines and/or providers.
  • Maintains confidentiality and complies with HIPAA regulations. 
  • Stays current with licensure, certifications, and professional development requirements.

POSITION SPECIFICATIONS:  EDUCATION AND EXPERIENCE:

 

  • Bachelor’s degree in healthcare/business administration or related filed, plus 1+ year of experience in a physician practice and 1+ year in a supervisory role OR
  • Associates Degree plus 3+ years in a physician practice and 1+ year in a supervisory role. OR
  • High School diploma plus 5+years in a physician practice and 1+ year in a supervisory role.
  • Strong organizational, analytical, and problem-solving skills.
  • Working knowledge of billing, diagnostic codes, computers, and practice management systems.
  • Excellent communication and multitasking abilities.
  • Professional demeanor with strong leadership presence.
