Job Summary:

Whiteford is seeking a detail-oriented, proactive, and highly organized Bankruptcy Legal Administrative Assistant to join its Roanoke, VA office. This position will provide dedicated support to the office’s Managing Partner and several attorneys in the practice area. This is an excellent opportunity for an experienced legal administrative professional who thrives in a fast-paced law firm environment, exercises sound judgment, and is comfortable managing a combination of legal and administrative responsibilities with accuracy, professionalism, and discretion. The ideal candidate will have a minimum of three to five (3-5) years of law firm experience, strong litigation and/or bankruptcy support skills, familiarity with bankruptcy court filings, including the use of CM/ECF, PACER, and applicable federal and local court filing systems. This role requires a proactive team member who can anticipate needs, take ownership of assignments, and provide high-level support. The successful candidate will be resourceful, organized, technically proficient, and committed to delivering excellent service to attorneys, clients, and colleagues.

Key Responsibilities:

  • Preparing, editing, proofreading, and finalizing litigation documents, correspondence, pleadings, and other legal materials.
  • Assisting with court filings, including electronic filings in state and federal courts.
  • Maintaining calendars, deadlines, and case-related schedules.
  • Supporting case preparation, including assembling materials, exhibits, binders, and correspondence.
  • Communicating professionally with clients, courts, opposing counsel, vendors, and internal team members.
  • Ordering office supplies.
  • Processing expense reports, monthly client billing, time entry, and other administrative tasks.
  • Providing proactive support to ensure attorneys are prepared, organized, and able to meet deadlines.
  • Answer the phone in a timely manner and direct calls to the correct office and individuals.
  • Create and manage both digital and hard copy filing systems for assigned attorney(s).
  • Implement and improve administrative processes for more efficient workflow.
  • Perform various other duties as assigned.
  • Be able to work independently

Skills and Abilities:

  • Proficiency with legal document management software.
  • Proficiency with legal time and billing and/or case management software.
  • Ability to maintain confidentiality and handle sensitive information.
  • Possess advanced knowledge of and proficiently use Microsoft Word, Excel, Power Point, Portable Document Format (PDF) applications including imaging and scanning functions.

Required Qualifications and Experience:

  • 3+ years of legal administrative assistant, legal secretary, or legal practice assistant experience in a law firm environment.
  • Litigation and/or bankruptcy experience, electronic court filing systems such as CM/ECF, PACER required.
  • Knowledge of bankruptcy practice procedures, terminology, deadlines, and electronic filing requirements, including the ability to assist with petitions, schedules, proofs of claim, motions, notices, hearing preparation, and case status tracking.
  • Docketing management experience, including calculating, entering, monitoring, and following up on bankruptcy court deadlines, hearings, filing dates, response dates, and related reminders.
  • Proficiency with Excel spreadsheets and mail merge functions, including organizing creditor and persons-of-interest data and producing accurate bankruptcy case notices, labels, envelopes, and correspondence
  • Strong proficiency with Microsoft Office, including Word, Outlook, Excel, and PowerPoint.
  • Excellent proofreading, formatting, organizational, and time-management skills.
  • Ability to prioritize competing deadlines and work efficiently in a fast-paced environment.
  • Strong communication skills and a professional, client-service oriented demeanor.
  • High level of attention to detail, discretion, and reliability.
