Company Description Weisberg I.P. Law, P.A. is an intellectual property boutique law firm serving clients from independent inventors to global technology companies. The firm focuses on protecting intellectual property, enforcing IP rights, and defending clients against infringement allegations worldwide. Its attorneys have industry experience and technical education spanning multiple disciplines, and many hold advanced technical degrees. Law, P.A. is supported by an experienced staff dedicated to making the pursuit of IP protection an efficient and positive experience.


Role Description The Law Office Administrative Assistant is a full-time, on-site role based in the Miami–Fort Lauderdale Area. This position supports attorneys and staff by managing calendars, scheduling meetings, organizing files, and preparing routine correspondence and legal documents. Daily tasks include, organizing email, maintaining electronic files and databases, and performing general clerical duties such as copying, scanning, and data entry. The role requires attention to detail, discretion with confidential information, and the ability to prioritize multiple tasks in a fast-paced legal environment.


Communication: Able to respond to emails professionally and work with a variety of attorneys and staff members. Clear verbal and written communication skills.

Record Keeping: Maintain digital filing systems, update databases, and perform accurate data entry.

Document Preparation: High volume of preparing and reporting letters to send to clients via email and routine reports. Review/cross-check filings for accuracy. 

Example of occasional projects: Obtain photos and post on the firm's social media account(s), obtain information from government websites and provide clients with updated reports with accuracy. 


Qualifications

  • Candidates should possess strong Administrative Assistance and Executive Administrative Assistance skills, including calendar management and document organization.
  • Candidates should possess excellent Phone Etiquette and Communication skills for interacting with clients, attorneys, and external partners.
  • Candidates should possess solid Clerical Skills, including filing, data entry, document preparation, and use of office equipment.
  • Proficiency with office software (e.g., Microsoft Office, PDF tools, etc.) and comfort learning legal-specific systems.
  • Strong attention to detail, reliability, and the ability to manage competing deadlines with minimal supervision.
  • 1+ years prior experience in a law office or professional services environment is required; familiarity with intellectual property law is a plus.
  • High school diploma or equivalent required; further education or relevant certifications in office administration are beneficial.


Job is posted as full-time, but part-time is also an option. Benefits for full-time include option to participate in firm's medical plan, paid time off after probationary period, 401(k) benefits and more.


Full-time starting compensation is $19-$22./hr + benefits.
