Job description

QUALIFICATIONS:
  • At least 18 years of age
  • CPR & First Aid Certified
  • General office experience including computer skills
  • Proficient in telephone communication, customer service, and multitasking
  • Ability to relate to one's peers as well as campers and parents of campers

SUMMARY:
The purpose of the Office Assistant is to assist the Office Manager in running the day-to-day camp office operations as timely, professionally, friendly and efficiently as possible.
COMPENSATION:
$15.05-$22.97/hour
SUPERVISORYRESPONSIBILITIES:
Assist and guide all summer employees through office procedures as needed and in accordance with the organization's policies and applicable laws.
ESSENTIALDUTIESANDRESPONSIBILITIES:
  • Arrive on the scheduled pre-camp arrival day.
  • Attend pre-camp orientation, meetings and meals.
  • Assist with set up/tear down procedures at the beginning and end of the summer. This will include some hard labor, employee and management evaluations and job related clinics. This may also include tasks that are not office related.
  • Provide support and assistance to campers and parents of potential, future, current and past campers
  • Accurately process and file returned Finishing Forms.
  • Call and email parents/campers regarding missing information in the Finishing Forms.
  • Market all camp sessions and team services over the phone.
  • Take new registrations over the phone.
  • Check and respond to emails, texts and voicemails.
  • Distribute sponsor and guest access passes to approved visitors.
  • Pick up and distribute administrative, camper and employee mail daily from the post office.
  • Distribute mail, packages and other necessary material/items on a regular basis.
  • Take camper and management messages.
  • On all camper arrival days assist in re-scheduling and problem solving with camper arrivals at the airport. Help with camper check-in as needed.
  • Communicate with the medical department and parents when injuries occur.
  • Make sure ALL incident reports get properly filled out for campers and staff. Document all communications with parents regarding accidents or illness in the Communications Log.
  • Assist the Summer Office Manager as needed and at your initiative.
  • Be flexible! Due to the changing nature of our business (snow levels, lift hours, weather conditions, camper numbers, camper behavior) your schedule and tasks may constantly evolve.

CONDITIONS OF EMPLOYMENT:
Successful candidate must submit to post offer, pre-employment drug testing, and criminal background check.
REQUIREMENTS:
All staff must be able to;
  • Repeatedly lift 75 pounds, move heavy luggage, climb stairs, ladders, ride a bicycle and be physically able to participate in all activities that We Are Camp offers.
  • Verbally communicate with campers, staff and parents, and provide information in a coherent manner.
  • Follow all ACA requirements and standards.
  • Agree to random drug tests or drug tests required after any accident or Workers Compensation claim that holds drugs and/or alcohol under reasonable suspicion of cause.
  • Follow all We Are Camp employee personnel policies and regulations found in the Employee Handbook and Staff Training Manual.
