Office Manager – Doral, FL

About Us We are an international millwork installation company specializing in furniture installation for residential properties, luxury retail stores, and hotels. As our team continues to grow, we're looking for a dependable and organized Office Manager to keep our day-to-day operations running smoothly.

Responsibilities

  • Place online orders for tools, office supplies, and warehouse materials
  • Answer phones and manage email correspondence
  • Receive and process physical mail
  • Process Certificate of Insurance (COI) requests
  • Book and coordinate equipment rentals, car rentals, and heavy equipment rentals
  • Support logistics communications
  • Post and record receipts
  • Track and renew local business licenses and trade permits
  • Coordinate scheduling for required inspections (fire extinguishers, fire alarms, building, safety, and equipment)
  • Maintain organized records of permits, certificates, and compliance documents
  • Follow up with local municipalities or agencies on permit statuses
  • Track expiration dates on employee certifications (OSHA cards, driver's licenses, etc.)
  • Coordinate with field crews on scheduling, logistics, and supply needs
  • Manage vendor relationships and contact lists
  • Onboarding admin for new hires (paperwork, badges, and uniforms)
  • Maintain office filing systems, both digital and physical

Requirements
