Location: Mulberry Office – Fort Collins, CO
Status: Full-Time, Non-Exempt
Pay Range: $22.00–$26.00 per hour, based on experience and qualifications

The Pod Assistant plays a key role in supporting our real estate Partners by managing listing preparation, marketing coordination, documentation, and administrative tasks that keep transactions moving efficiently. Working closely with an assigned group of Partners, this position provides exceptional customer service while ensuring accuracy, compliance, and a seamless experience from listing through closing.

Essential Responsibilities
Listing Preparation amp; Marketing Coordination
  • Prepare and proof listing contracts and associated disclosures.
  • Process new listings, including:
    • MLS input
    • Brochure and marketing orders
    • Counter displays
    • Ordering measurements
    • Ordering photography and videography
    • Coordinating sign and lockbox installation
    • Ordering home warranties
  • Coordinate staging services when requested.
  • Communicate listing information for company tours.
  • Prepare Amend/Extend forms for listings, including price changes and date extensions.
HOA Documentation amp; Compliance
  • Order O amp;E reports, covenants, plats, and HOA documentation.
  • Maintain accurate listing and compliance records.
  • Ensure transaction files are complete, organized, and compliant.
Marketing amp; Administrative Support
  • Coordinate AutoFlow and other marketing materials in collaboration with the Head Concierge.
  • Prepare marketing campaigns as requested.
  • Schedule showings and create showing guides.
  • Assist Partners with property searches and administrative requests.
File Management amp; Office Support
  • Finalize off-market, expired, and withdrawn listings.
  • Close files in internal and external systems.
  • Maintain CRM and database accuracy.
  • Provide front desk coverage and assist other office staff as needed.
  • Perform other duties as assigned.
Qualifications
Required
  • High school diploma or GED.
  • Previous administrative or customer service experience
  • Strong computer and technology skills.
Preferred
  • Experience in real estate or a similar administrative role.
  • Familiarity with MLS systems, listing processes, and real estate documentation.
