Position Summary

The Pod Assistant plays a vital role in supporting our real estate Partners by managing listing preparation, marketing coordination, documentation, and administrative responsibilities. This role is essential to keeping transactions organized, compliant, and moving forward efficiently. This allows our agents to focus on client relationships and sales success.

What You Will Do

Listing Preparation and Marketing Coordination

  • Prepare and proof listing contracts and disclosures
  • Create purchase contracts using ZipForms and DocuSign
  • Process new listings including MLS input and marketing setup
  • Coordinate photography, videography, measurements, signage, and lockboxes
  • Order brochures, marketing materials, and home warranties
  • Coordinate staging services and company tour communications
  • Prepare listing updates such as price changes and extensions
    HOA Documentation and Compliance
  • Order O and E reports, covenants, plats, and HOA documents
  • Maintain accurate compliance and listing documentation
    Marketing and Systems Coordination
  • Support marketing campaigns and AutoFlow materials
  • Set up showings and create showing guides
  • Assist with property searches as needed
    File Management and Administrative Support
  • Close out listings including off-market, expired, and withdrawn
  • Maintain accurate records in CRM and internal systems
  • Support office operations including front desk coverage as needed
  • Assist with additional tasks that support team success
What You Bring

Required

  • High school diploma or GED
  • Customer service experience
