The Dermatology Practice Manager is responsible for overseeing the day-to-day administrative and operational functions of a busy dermatology clinic. This role ensures efficient office workflows, regulatory compliance, positive patient experience, and smooth coordination among clinical and administrative staff. The ideal candidate has prior experience in a healthcare office leadership role, is detail-oriented, and demonstrates excellent organizational and communication skills.

WHAT YOU'LL DO:

Administrative & Operational Leadership

  • Oversee daily clinic operations to ensure efficiency and patient flow.
  • Submit and audit payroll using NoahFace biometric timekeeping system.
  • Manage schedules, staffing ratios, and adherence to labor laws.
  • Lead onboarding and competency completion (3, 7, 12-week).
  • Maintain supply inventory and ordering via McKesson and vendor portals.

Patient Experience & Front Office Oversight

  • Ensure front and back-office operations run smoothly, filling in as needed.
  • Maintain a clean, safe, and welcoming environment for patients and staff.
  • Monitor patient satisfaction, respond to Google reviews, and resolve complaints professionally.
  • Ensure staff encourages patient feedback and promotes Google reviews using branded giveaways.
  • Schedule appointments and adjust provider schedules in accordance with clinic guidelines.
  • Confirm Mohs surgery days in advance with surgeon, tech, and senior manager.
  • Ensure compliance with HIPAA, OSHA, and all applicable healthcare regulations.
  • Utilize EMA / ModMed EMR for scheduling, reporting, and task management.
  • Manage patient communications through Klara and Microsoft Teams.
  • Use CoverMyMeds for prior authorizations and pharmacy coordination.
  • Track labs and pathology via LabCorp and Quest Diagnostics portals.
  • Supervise staff to ensure job duties are completed accurately and on time.
  • Provide coaching, training, and support to new and existing employees.
  • Address and resolve employee questions regarding scheduling, supplies, or office procedures.
  • Maintain accurate and updated staff schedules and lunch compliance.
  • Attend biweekly manager meetings and communicate key takeaways to staff.

WHAT WE'RE LOOKING FOR:

Required Skills / Abilities

  • Previous experience as a Front Office Lead, Office Administrator, or Practice Manager required.
  • Experience in dermatology or a medical office setting strongly preferred.
  • Excellent organizational and multitasking abilities.
  • Strong leadership, training, and communication skills.
  • Proficient with email tools, spreadsheets, databases, and EMR systems (EMA preferred).
  • Knowledge of HIPAA, OSHA, and healthcare operations.
  • Friendly, professional demeanor with strong attention to detail.
  • Ability to handle sensitive information with discretion and confidentiality.

Education & Experience

  • Associate or bachelorโ€™s degree in healthcare administration, Business, or related field preferred.
  • Minimum 3 years of experience in a medical practice leadership role required.
  • Dermatology or specialty practice management experience strongly preferred.
