The Science Team at Pride Health supporting the Pharmaceutical Industry that has an opening for Pharmaceutical Distribution & Logistics Administrative Assistant in Louisville, KY
Position Summary:
We are seeking a detail-oriented Pharmaceutical Distribution & Logistics Administrative Assistant to support daily distribution and logistics operations during a high-volume seasonal period. This role provides hands-on experience in pharmaceutical supply chain operations, shipment coordination, documentation management, and logistics administration in a fast-paced environment.
Additional Details:
Contract Length: 3 Months with the possibility of extensions
Pay range: $18 to $20 per hour on W2 (As per experience)
Responsibilities
  • Track daily shipments from origin to delivery and proactively monitor on-time performance.
  • Investigate shipment delays and escalate issues while following through until resolution.
  • Retrieve and maintain Proof of Delivery (POD) documentation.
  • Obtain packing slips and verify shipping documentation for accuracy.
  • Document delivery exceptions, including shortages, damages, delays, and misrouted shipments.
  • Communicate shipment status updates and estimated delivery times to internal stakeholders.
  • Monitor logistics claims and assist with case creation, documentation, and closure.
  • Coordinate with carriers and third-party logistics providers to obtain shipment updates and resolve transportation issues.
  • Monitor inventory-related alerts and communicate potential fulfillment concerns.
  • Maintain organized records and ensure documentation is complete and accurate.
  • Support reporting activities using Excel and other tracking tools.
  • Follow established logistics procedures and compliance documentation requirements.

Required Qualifications
  • Bachelor's degree or currently pursuing a degree in Supply Chain, Logistics, Business, Operations, Industrial Engineering, Public Health, or a related field.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Excel, including:
    • VLOOKUP/XLOOKUP
    • Pivot Tables
    • Filtering and Sorting
    • Basic Charts
  • Proficiency with Microsoft Outlook, Teams, and Word.
  • Strong analytical and problem-solving abilities.
  • Customer-focused mindset with the ability to work professionally with internal and external partners.

Preferred Qualifications
  • Exposure to transportation, logistics, or supply chain operations.
  • Knowledge of shipment tracking, Proof of Delivery (POD), inventory monitoring, or carrier operations.
  • Experience with Power BI or Smartsheet.
  • Familiarity with temperature-controlled logistics or healthcare/pharmaceutical environments.
