As a Pod Operations and Enrollment Administrator (POEA), you will provide operational, enrollment, and administrative support across assigned POD school sites. This position reports to the Pod Leader and collaborates closely with school leaders, the Marketing Manager, and the State School Operations Administrator (State SOA) to support enrollment growth, operational efficiency, and school-based administrative functions.
How You Will Impact Education
Instruction/Education Responsibilities
Enrollment & Marketing Support
  • Supports the execution of enrollment and retention activities for assigned POD sites to ensure enrollment targets are met.
  • Coordinates enrollment documentation, application processing, registration support, and student data entry in compliance with CSUSA policies.
  • Collaborates to provide accurate enrollment data, insights, and updates to the Marketing Manager and/or State SOA.
  • Assists with enrollment events, tours, and outreach activities as directed.
  • Maintains accurate enrollment records and supports reporting related to enrollment, withdrawals, and retention.

Operations & Administrative Support
  • Provides daily operational and administrative support for assigned POD sites under the direction of the Pod Leader.
  • Coordinates the assignments and work of substitute teachers to ensure uninterrupted instructional coverage.
  • Prepares, processes, and maintains oversight of purchase orders in accordance with CSUSA procurement procedures.
  • Performs office routines and practices such as sorting mail, operating office equipment, serving as telephone receptionist, and supporting front-office operations.
  • Maintains an organized filing system and retrieves documents efficiently.
  • Manages records and correspondence, responds to requests for information, and improves administrative systems when necessary.
  • Acts as an information resource for other office personnel within the building and communicates assigned duties as required.
  • Demonstrates the ability to organize and prioritize multiple assignments effectively in a school environment.

Payroll & Onboarding Support (Non-Processing Role)
  • Provides payroll, timekeeping, and onboarding support to the State SOA for POD sites.
  • Assists staff with onboarding documentation, system navigation, and compliance requirements.
  • Does not independently process, run, or approve payroll.

Collaboration & Communication
  • Works collaboratively with the Pod Leader, school-level staff, the Marketing Manager, and the State SOA to ensure alignment across enrollment, operations, and administrative functions.
  • Communicates operational and enrollment information clearly, professionally, and in a timely manner.

Job Requirements
  • Associate degree or equivalent experience required; Bachelor's degree preferred.
  • Minimum of two (2) years of experience in school operations, enrollment, or administrative support roles preferred.
  • Prior experience in an educational environment is strongly preferred.
