Position Description
We are seeking a highly organized and proactive Portfolio Manager & PI Planning Coordinator to support business operations through a combination of ad hoc portfolio management activities and large-scale planning event coordination. This role operates in a fast-paced, ambiguous environment and requires strong communication, analytical, and cross-functional collaboration skills.
The ideal candidate is a self-starter who can synthesize information from multiple sources, manage competing priorities, and translate data into clear, actionable insights for stakeholders.
Your future duties and responsibilities
Portfolio Management & Ad Hoc Support
• Support portfolio management activities through ad hoc analysis, reporting, and presentation development
• Gather, analyze, and synthesize data from multiple systems and stakeholders to provide clear insights and recommendations
• Develop executive-ready materials (e.g., PowerPoint presentations, Excel analyses) to communicate portfolio status and key updates
• Collaborate cross-functionally with stakeholders to collect inputs, clarify requirements, and ensure alignment
• Operate effectively in ambiguous situations, taking initiative to define next steps and drive work forward
• Learn and apply internal tools, processes, and tracking mechanisms to support end-to-end portfolio visibility
• Document workflows and contribute to improving current processes, including identifying opportunities for future automation
PI Planning Event Coordination
• Support coordination of enterprise-wide Program Increment (PI) Planning events conducted on a 12-week cadence
• Manage logistics for large-scale, in-person planning sessions (300+ attendees), including:
o Room reservations and space planning
o Coordination of materials (e.g., name tags, supplies)
o On-site event support and execution
• Monitor inventory and manage ordering of supplies to support ongoing planning events
• Collaborate with internal teams to ensure seamless execution of planning activities
Required qualifications to be successful in this role
• Strong organizational and project coordination skills
• Advanced proficiency in Microsoft Excel and PowerPoint
• Excellent communication and interpersonal skills, with the ability to work across teams
• Ability to synthesize complex information from multiple sources into clear, concise outputs
• Comfortable working in ambiguous environments with minimal direction
• Strong attention to detail and ability to meet tight deadlines
• Self-starter mindset with a proactive approach to problem-solving
Preferred Qualifications
• Experience supporting PMO, portfolio management, or business operations functions
