Administrative Assistant / Personal Assistant to Firm Owner

On site | Full Time | Fort Lauderdale, FL | $23.00 - $25.00 per hour | Benefits

Mayersohn Law Group, P.A. is seeking a dependable, highly organized, and proactive Administrative Assistant / Personal Assistant to provide general administrative support to our law firm while also providing direct personal and administrative support to the Firm Owner.

This is a hands-on role for someone who is organized, resourceful, detail-oriented, and comfortable managing a variety of responsibilities throughout the day. The ideal candidate will be proactive, able to anticipate needs, identify outstanding items, and follow through without repeated reminders. This position will assist with day-to-day office administration, help keep the Firm Owner organized and on schedule, handle personal-assistant tasks as needed, and provide general support to ensure the office runs smoothly and efficiently.

What you'll do
  • Provide administrative and personal support to the Firm Owner, including calendar management, appointment scheduling, reminders, task follow-up, and coordination of meetings.

  • Maintain and update internal trackers, spreadsheets, task lists, reports, and status updates using Google Sheets and related tools.

  • Organize and maintain digital and physical files, records, correspondence, templates, and administrative documents in accordance with firm procedures.

  • Assist with scheduling client appointments, internal meetings, interviews, consultations, and vendor meetings.

  • Monitor administrative inboxes and communications; flag urgent matters, draft routine correspondence, and ensure follow-up items are completed.

  • Assist with preparing meeting agendas, notes, reports, and administrative materials.

  • Coordinate office supplies, equipment, vendor needs, mail, deliveries, and basic office operations.

  • Maintain accurate contact lists, employee records, vendor records, and firm administrative documentation.

  • Help support and manage special projects, research assignments, event coordination, travel arrangements, personal appointments and errands, and other business or personal tasks assigned by the Firm Owner.

  • Protect confidential firm, employee, client, financial, and business information at all times.

  • Perform other administrative and operational duties as needed to support the Firm Owner and the firm.


What you bring
  • At least 2 years of administrative assistant, office assistant, executive assistant, personal assistant, or comparable office-support experience.

  • Strong proficiency with Google Workspace, particularly Google Sheets, Google Docs, Google Calendar, Gmail, and shared-drive file organization.

  • Excellent organization, follow-through, time-management, and attention-to-detail skills.

  • Ability to manage multiple assignments, shifting priorities, deadlines, and confidential information while working independently and following direction.

  • Strong written and verbal communication skills and a professional, polished demeanor.

  • Dependable attendance, responsiveness, and a demonstrated ability to take ownership of assigned tasks.

  • High level of integrity, discretion, professionalism, and trustworthiness.

  • Comfortable working in a fast-paced, direct, and accountability-driven environment.

  • Willingness to occasionally assist with time-sensitive matters outside standard business hours when necessary.

  • Ability to learn new systems, follow established processes, and identify opportunities to improve organization and efficiency.

Preferred

  • Prior experience in a law firm, professional-services firm, executive office, or other confidential environment.

  • Experience supporting an attorney, business owner, executive, or senior leader.

  • Familiarity with client confidentiality and document-management practices.

  • Familiarity with Microsoft Office, Zoom, Clio, Slack, or other legal/office-management platforms.

  • Experience coordinating calendars, travel, vendor relationships, and office logistics.
