Job description

Title: Family Assistant
Location: Palm Beach, FL
Schedule: 5 days on-2 days off rotating
Salary: $95 -120,000 DOE + discretionary bonus + fully covered M/D/V + 401(k) + 10 days PTO
Overview: This position is ideal for a highly analytical, systems-oriented Family Assistant who thrives in a dynamic, high-performance private service environment. The successful candidate possesses exceptional executive functioning, critical thinking, organizational, and interpersonal skills, with the ability to anticipate needs, manage complex and competing priorities, and adapt seamlessly to an ever-changing schedule while maintaining the highest level of discretion and professionalism. Based primarily at the Principal's Palm Beach residence, the role requires regular travel to the northeast, particularly during the summer months, to ensure seamless support across multiple residences. This position demands a proactive, solutions-driven mindset, meticulous attention to detail, and a commitment to maintaining consistent availability by phone and email outside of standard business hours as operational needs require.
Responsibilities:
  • Manage special projects from inception through completion, ensuring deadlines and objectives are achieved with precision.
  • Coordinate all packing and unpacking for travel, seasonal moves, and household transitions.
  • Oversee the receipt, tracking, shipping, and distribution of packages, including managing returns and exchanges.
  • Maintain detailed household inventories, checklists, and operational records using Microsoft Excel and other digital tracking systems.
  • Develop and implement organizational systems to optimize household efficiency and workflow.
  • Perform administrative support functions, including document preparation, copying, filing, scanning, and records management.
  • Maintain and update calendars, contact databases, and household information with exceptional accuracy.
  • Execute personal shopping, sourcing, and errands
  • Coordinate and prioritize daily household and personal activities to ensure seamless operations.
  • Arrange complex domestic and international travel itineraries, including transportation, accommodations, dining, and detailed travel logistics.
  • Assist with the planning, coordination, and execution of private dinners, social gatherings, and special events.
  • Conduct comprehensive research and source unique products, services, vendors, and hard-to-find items through creative problem-solving and resourcefulness.
  • Leverage strong knowledge of the Palm Beach area to coordinate preferred vendors, reservations, services, and local resources efficiently.

Requirements:
  • Bachelor's degree required.
  • Minimum of 2-3 years of experience supporting a senior executive, UHNW principal, family office, or in another high-performance, fast-paced environment requiring exceptional judgment, discretion, and responsiveness.
  • Outstanding verbal and written communication skills, with the ability to interact professionally and confidently with principals, family members, vendors, staff, and external stakeholders.
  • Exceptional executive functioning, organizational capability, and project coordination skills, with the ability to manage multiple concurrent priorities while maintaining meticulous attention to detail and consistently following projects through to completion.
  • Demonstrated ability to perform effectively under pressure, rapidly reprioritize competing demands, and exercise sound judgment in a dynamic, time-sensitive environment.
  • Highly proactive, resourceful, and solutions-oriented, with strong critical thinking skills and the ability to anticipate needs before they arise.
  • Proven problem-solving ability, intellectual curiosity, and creativity in identifying efficient solutions to complex or unconventional requests.
