Salary: $15 an hour


General Definition of Work

Performs intermediate administrative support work for the Departments of Infrastructure & Development and Code Enforcement. Assists the public, developers, and contractors with permit applications, code inquiries, and compliance matters; processes fees, maintains records, coordinates inspections, prepares meeting materials, and performs related work as apparent or assigned. Work is performed under the moderate supervision of the Planning Director.

Qualification Requirements

To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. Essential Functions

Handles public inquiries on permits, zoning, and code enforcement.

Explains department procedures, application requirements, and fee structures to the public.

Collects and processes permit fees; issues receipts; tracks permit status using municipal software.

Coordinates inspection schedules for code enforcement officers and building officials.

Prepares and distributes meeting agendas, public hearing notices, and legal advertisements.

Processes and mails Notices of Violation and other legal correspondence for code enforcement cases.

Maintains organized filing systems for property records; site plans; Certificates of Appropriateness (COA).

May assist with special projects or assignments as directed by the assigned department.

Knowledge, Skills and Abilities

General knowledge of standard office practices, record-keeping, and municipal permitting processes; basic understanding of zoning regulations and public meeting requirements. Skilled in operating standard office equipment and Microsoft Office Suite; able to maintain accurate records, organize files, and communicate clearly with the public and coworkers. Ability to handle sensitive situations with diplomacy and provide customer-focused support.

Education and Experience

High school diploma or GED required; moderate experience working in an office environment assisting with customer inquiries, maintaining records, or processing permits preferred.

Physical Requirements

This work requires the occasional exertion of up to 25 pounds of force; work regularly requires sitting, speaking or hearing and using hands to finger, handle or feel and frequently standing and walking; work has standard vision requirements; no special vocal communication skills are required; hearing is required to receive detailed information through oral communications and/or to make fine distinctions in sound; work requires observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).

Special Requirements

Valid driver's license in the State of Indiana.

Ability to become a Notary Public within 30 days of hire.
