Job description

About this role

Tekmetric is hiring a People Operations Coordinator in our Houston HQ to support the People & Culture team across recruiting, onboarding, and employee experience. This is a hands-on role for someone who loves project management, gets a small thrill from getting through the daily to-do list, and wants to grow inside a fast-moving People org.

You'll be the connective tissue between candidates, new hires, and the rest of the team - making sure interviews happen on time, new hires land smoothly, and our people programs run without friction. About half of your week will be interview scheduling; the rest is onboarding logistics, HR admin, and culture work.

What You'll Do

Recruiting Coordination (~20 hrs/week)

  • Own complex, later-stage interview scheduling across multiple time zones - video, onsite, and panel formats.
  • Coordinate the full logistics around onsite interviews: room reservations, visitor access, travel, and accommodations.
  • Be the point of contact for candidates and interviewers when things shift last minute. Resolve conflicts quickly and professionally.
  • Deliver a consistent, high-quality candidate experience from first scheduling email through interview completion.
  • Bring fresh thinking to how we schedule and coordinate - including how we use AI and automation to move faster without losing the human touch.

New Hire Onboarding Logistics (~8-10 hrs/week)

  • Run end-to-end onboarding logistics: training travel and accommodations, session scheduling, and Swag Store management so new hires get their gear on day one.
  • Manage I-9 completion and verification, and keep employee records accurate in our HRIS.
  • Track mandatory new hire training and follow up to hit 100% completion on time.

Culture & Employee Engagement (~4-5 hrs/week)

  • Administer employee recognition programs and pulse surveys.
  • Own incoming swag, postal, and gift card requests through Jira.

What You'll Bring

  • 2-4 years of experience in recruiting coordination, HR/people operations, or a comparable role. We're open to candidates from executive assistant, project coordination, event planning, or office management backgrounds - if you've juggled high-volume logistics and multiple stakeholders, we want to hear from you.
  • Experience scheduling high-volume, multi-interviewer interviews across time zones using an ATS and calendar tools. Greenhouse and Google Workspace experience preferred, but comfort learning new systems quickly matters more.
  • Strong organizational skills and the judgment to triage when everything feels urgent.
  • Working knowledge of an HCM/HRIS (Rippling, Lattice, or similar) - managing workflows, processes, and pulling basic reports.
  • Sharp attention to detail and follow-through, especially in work where small errors have real consequences - compliance docs, interview logistics, employee data.
  • Familiarity with onboarding logistics and HR compliance, including I-9 verification, training completion tracking, and HRIS record keeping is a plus.
  • Clear, professional written and verbal communication. You'll often be the first impression candidates, new hires, and employees have of Tekmetric, a true Brand Ambassador.
  • Genuine interest in using AI tools to work smarter: experimenting with new approaches, automating repetitive tasks, and lifting team productivity.

Why this role

This is a high-impact seat on a small team, with real room to grow. You'll touch every part of the employee lifecycle, see how a People org actually runs, and have the chance to shape how we do things - not just execute someone else's playbook.
