Position Overview

We are looking for a People Operations Coordinator to work closely with the Leaders in People Operations to support and execute the company’s human resources function across assigned markets. The goal is to ensure People Operations programs, onboarding, employee support, compliance, and engagement initiatives run smoothly and efficiently to deliver maximum value to our Managers, Team Members, and the organization.

What You’ll Do:

As the People Operations Coordinator, you will serve as a key point of contact for market-level HR needs, delivering operational support across onboarding, benefits, employee documentation, and team member experience initiatives.

  • Onboarding runs smoothly across all assigned markets — new hires are set up, compliant (I-9), and productive from day one
  • People Assist and HR inbox inquiries are resolved within 24 hours, with high satisfaction from Managers and Team Members
  • Employee files are accurate, complete, and audit-ready at all times
  • Benefits and 401(k) support is proactive, not reactive — team members get clear answers after issues escalate
  • Unemployment claims, Workers' Comp, and compliance requests are handled accurately and on time
  • Market Leaders see this role as a trusted, responsive HR partner — not a bottleneck
  • Engagement touches (birthdays, anniversaries, recognition) land consistently and on schedule
  • Onboarding audit error rates stay low and continue to improve

Responsibilities:

Onboarding & New Hire Support
  • Coordinating onboarding for all new hires across assigned markets
  • Facilitating onboarding training and support, including I-9 compliance
  • Managing onboarding swag and welcome box distribution
  • Assisting with onboarding tech help, including system access and password resets
  • Supporting background check processing, including pre-adverse action workflows
  • Tracking relocation agreements and sign-on bonus commitments
People Operations Support & Employee Services
  • Completing People Assist (HR Inbox) inquiries when delegated within 24 hours or less
  • Completing HR email inbox items for the assigned markets (VOEs, W-2 support, etc.)
  • Delivering exceptional customer service to team members with a servant-leader mindset
  • Providing employee verifications and responding to employment confirmation requests
  • Maintaining accurate employee files and ensuring employee file compliance
  • Complete weekend call support to ensure any team member emergencies are resolved
Benefits & Retirement Administration
  • Supporting benefits administration, enrollment assistance, and employee questions
  • Sending 401(k) reminder emails and supporting retirement communications
Compliance & Claims Processing
  • Responding to unemployment claims and state information requests
  • Coordinating Workers’ Compensation claims and required documentation
Employee Engagement & Culture Initiatives
  • Managing the distribution of birthday and anniversary cards
  • Producing monthly enterprise birthday and anniversary reporting
  • Supporting HQ birthday planning and market recognition efforts
  • Assisting with event planning and coordination for employee engagement activities
Administrative & Department Support
  • Providing data entry and administrative support to the People Operations team
  • Assisting with the maintenance of HR documents, including job descriptions, employee agreements, and acknowledgments
  • Working independently on various projects and related duties as assigned
  • Completing other duties as assigned

Required Qualifications:

  • Bachelor’s degree in Human Resources or a related Business field
  • 2+ years of experience in HR, People Operations, or a related administrative/operations role
  • Working knowledge of onboarding processes and I-9 compliance requirements
  • Experience managing multiple, competing priorities across different teams or locations
  • Strong customer service orientation with proven responsiveness to internal stakeholders
  • Excellent written and verbal communication skills
  • High attention to detail, particularly with employee documentation and compliance records
  • Ability to handle confidential and sensitive employee information with discretion
  • Proficiency in Microsoft Excel and Google Workspace
  • Ability to work independently and manage projects with minimal supervision
  • Availability to support occasional weekend on-call needs
