Position Overview:
The Senior Payroll Specialist is responsible for managing payroll activities across all entities within a designated region of operations. This role ensures employees are paid accurately and on time, payroll practices are compliant with federal, state, and local laws, and consistent processes are applied across Operating Companies (OpCos). The Senior Payroll Specialist must be well-versed in ADP WorkforceNow, serving as the area's subject matter expert and super-user to maximize system functionality. In addition, this role supports payroll-related setup for newly acquired OpCos, coordinates payroll tax cleanup and corrections, performs targeted payroll audits, documents SOPs, and trains OpCo contacts on processes and procedures.
Key Responsibilities:
Payroll Processing & Oversight
  • Work with Regional Human Resources to maintain accurate timekeeping.
  • Administer and oversee full-cycle payroll for all OpCos within the assigned Region.
  • Review payroll submissions for accuracy in hours worked, earnings, deductions, taxes, and benefit contributions.
  • Manage off-cycle payroll runs (bonuses, corrections, retroactive adjustments).
  • Reconcile payroll registers to funding, taxes, and GL exports; manage reversals/voids and retro pay corrections as needed.
  • Coordinate ADP file feeds/GL exports with Finance to ensure correct labor distribution and cost center mapping.
  • Acquisition Setup & Onboarding (Payroll)
  • Set up new/acquired OpCos in ADP WorkforceNow (company codes, pay groups, earnings/deductions, PTO policies, direct deposit, and GL mapping).
  • Partner with HR, Finance, and OpCo leaders to collect and validate conversion data; support parallel testing and first-live payroll.
  • Coordinate payroll tax setup for new states/localities (SUI/SIT/local), ensuring correct rates and work/resident tax configurations on day one.

Compliance & Reporting
  • Ensure payroll practices comply with federal, state, and local wage and hour requirements.
  • Monitor tax filings, garnishments, and other required withholdings in partnership with Payroll Manager.
  • Generate and distribute payroll and labor cost reports for Area and OpCo leadership using ADP reporting tools.
  • Lead or support quarterly and year-end balancing (941/940, W-2/W-2c, SUI) and assist with historical tax cleanup and amended returns as needed.
  • Maintain accurate multi-state employee tax profiles (resident/nonresident, reciprocity, and local taxes).

Support Responsibilities
  • Serve as the first point of contact for payroll questions within the assigned Region.
  • Partner with HR, Finance, and HQ Payroll to resolve payroll discrepancies.
  • Train OpCo timekeepers/approvers and payroll contacts on timelines, approvals, SOPs, and ADP best practices; provide refresher training after system/process changes.
  • Process Improvement & Consistency
  • Drive standardization of payroll processes across OpCos within the assigned Region.
  • Identify and implement opportunities to improve efficiency, accuracy, and internal controls.
  • Support payroll system upgrades, process changes, and integrations.
  • Perform periodic payroll audits (timekeeping exceptions, pay code usage, garnishment setup, tax configuration, and GL mapping) and remediate findings.
  • Create, publish, and maintain SOPs and desk guides; ensure version control and accessibility for OpCos.

Qualifications:
  • Associate or Bachelor's degree in Accounting, Finance, Human Resources, or related field.
  • 3-5 years of payroll experience, preferably in a multi-entity, multi-state environment.
  • Well-versed in ADP WorkforceNow with the ability to fully utilize system functionality for payroll, reporting, and compliance.
  • Strong knowledge of wage and hour laws, payroll tax regulations, and compliance requirements (including quarter/year-end and W-2/W-2c).
  • Experience supporting payroll aspects of acquisitions (entity setup, data conversion, first-live payroll) preferred.
  • Advanced proficiency with Excel and comfort working with data sets and reports.
  • Strong attention to detail and ability to meet strict deadlines.
  • Excellent interpersonal and communication skills; able to partner across HQ, Regional Leadership, and OpCo employees.
  • Demonstrated ability to create SOPs and train others on processes and procedures.

Location: This position is primarily on-site at our headquarters located at: 9780 Pyramid Court, Englewood, CO 80112
  • Regular in-person attendance is required Monday through Thursday
  • Friday is an optional remote workday

Physical Requirements:
  • Ability to remain seated for extended periods while working at a computer.
  • Ability to alternate between sitting, standing, and walking throughout the workday as needed.
  • Ability to occasionally lift and move items weighing up to 20 pounds.
  • Ability to move throughout the office and access various departments, meeting rooms, storage areas, and shared spaces as needed.
