Job description

Position Summary

Join MHA as a Payroll Supervisor and become a key member of our Fiscal team. In this role, you will oversee payroll operations and supervise payroll staff to ensure the accurate and timely processing of payroll for more than 800 employees. You will collaborate closely with Payroll, Human Resources, and organizational leadership to maintain compliance, ensure the integrity of payroll and benefits data, and support strategic reporting initiatives. This position is responsible for payroll reporting, auditing, system administration, regulatory compliance, and resolving complex payroll issues while driving continuous process improvements. This position is fully in-person at our corporate office in Chicopee, MA.

Pay Rate: $69,000-$71,000 annually

Open Shift: Monday through Friday 9am-5pm (40hrs), in person

Key Responsibilities
  • Cross-train in the weekly payroll process to ensure timely and accurate payroll processing in accordance with applicable laws, regulations, and company policies.
  • Supervise payroll operations and provide leadership, coaching, performance management, and annual evaluations for Payroll staff.
  • Serve as the primary payroll backup during staff absences and vacations to ensure uninterrupted payroll operations. · Manage payroll system updates, configurations, testing, and integrations.
  • Audit weekly payroll worksheets, pre-registers, post-registers, and timekeeping data to ensure payroll accuracy before and after processing.
  • Analyze payroll trends and identify discrepancies, recommending corrective actions as needed. · Research and resolve complex payroll discrepancies, tax issues, and employee inquiries.
  • Oversee payroll tax filings, year-end reporting, including W-2 preparation, and perform quarterly Form 941 reconciliations.
  • Perform regular reconciliations of payroll-related general ledger accounts, including payroll, tax, asset, and withholding accounts, investigating and resolving discrepancies.
  • Partner with Program Leadership and Human Resources to ensure compliance with payroll policies and procedures.
  • Create, validate, maintain, and distribute payroll reports and metrics for management and senior leadership.
  • Maintain employee allocation data within the payroll system.
  • Train managers and employees on payroll and timekeeping processes, including timecard entry, adjustments, and leave requests, and develop Payroll related training materials.
  • Prepare and coordinate annual Workers' Compensation, 401(k), and 403(b) audits.
  • Review retirement plan eligibility and employer match requirements, coordinate vesting updates with third-party administrators, and resolve complex retirement plan inquiries.
  • Serve as the primary liaison for payroll-related audit requests.
  • Collaborate with Payroll and Human Resources to ensure accurate integration of payroll and benefits data.
  • Identify, recommend, and implement process improvements that enhance payroll accuracy, efficiency, and internal controls.
  • Monitor changes in payroll laws, tax regulations, and system functionality to ensure ongoing compliance.
  • Assist with statutory filings and other required regulatory reporting. · Perform special projects and other duties as assigned.

Requirements

  • Bachelor’s degree in a related field or at least five years of payroll experience required.
  • Previous supervisory or management experience required.
  • Proficiency processing payroll for a large, diverse workforce.
  • Experience with ADP Workforce Now and Workforce Manager strongly preferred.
  • Intermediate Excel experience required for means of report creation, maintenance, and data validation/analysis (VLOOKUP/XLOOKUP, PivotTables, logical functions (IF, SUMIF, Nested IF statements)).
  • Thorough knowledge of federal, state, and local payroll laws and regulations with the ability to interpret and apply them to maintain compliance.
  • Demonstrated ability to process payroll accurately while meeting strict deadlines.
  • Strong analytical and problem-solving skills with exceptional attention to detail.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive employee information.
  • Experience performing payroll reconciliations, audits, and maintaining documentation to support internal controls and audits.
  • Strong organizational, communication, and interpersonal skills with the ability to collaborate effectively across departments.
  • Adaptability to software systems and changing business needs.
  • Ability to work independently while managing multiple priorities in a fast-paced environment.
  • Visual acuity to review written and computer screen data for extended periods.
