Conference Services Manager.
Location: The Westin Westminster, Westminster, CO.
Schedule: Full-time | Primarily weekday schedule with flexibility for weekends and evenings based on event needs.

About the Role:
The Westin Westminster is seeking a detail-oriented and service-driven Conference Services Manager to join our Sales and Events team. This position is responsible for coordinating and executing meetings, conferences, banquets, and social events from contract to completion, ensuring each program runs smoothly and exceeds client expectations.
The Westin Westminster offers over 95,000 square feet of combined indoor and outdoor event space, including ballrooms, meeting rooms, and scenic outdoor venues. The ideal candidate will have strong organizational and communication skills, the ability to manage multiple programs simultaneously, and a passion for delivering seamless and memorable event experiences.

Responsibilities:
  • Serve as the primary contact for clients after the group contract is signed, managing all event planning, communication, and execution details.
  • Prepare and distribute detailed Banquet Event Orders (BEOs), group resumes, and event diagrams in accordance with hotel and brand standards.
  • Coordinate closely with the Sales, Banquet, Culinary, Front Office, and Engineering teams to ensure all client needs are met.
  • Conduct pre- and post-event meetings with clients and internal departments to review logistics and outcomes.
  • Maximize event profitability through up-selling food, beverage, and ancillary services while maintaining guest satisfaction.
  • Monitor event progress, anticipate client needs, and address on-site issues quickly and professionally.
  • Ensure accurate billing, approvals, and financial documentation for all group events.
  • Maintain detailed and organized event records within the hotel’s sales and catering system (CI/TY, Opera, or similar).
  • Represent the hotel professionally at all times, building relationships that encourage repeat and referral business.
  • Participate in weekly group resume and operations meetings to ensure full coordination between departments.

Qualifications:
  • Minimum 2 years of hotel conference services, catering, or event management experience required.
  • Strong understanding of food and beverage operations, event logistics, and meeting planning.
  • Exceptional communication, organizational, and customer service skills.
  • Proficiency with hotel event management systems (CI/TY, Opera, or similar) and Microsoft Office applications.
  • Proven ability to handle multiple programs and priorities in a fast-paced environment.
  • Professional demeanor, attention to detail, and proactive attitude.
  • Flexibility to work evenings and weekends to oversee events as needed.
  • Bachelor’s degree in Hospitality, Business, or related field preferred.
