Position Summary
The Part-Time, Bi-Lingual Office Manager is responsible for ensuring the smooth day-to-day operation of the office. This role manages administrative functions, supports staff, coordinates office procedures, maintains records, and serves as a key point of contact for vendors, customers, and employees. The ideal candidate is highly organized, detail-oriented, and capable of handling multiple responsibilities in a professional and efficient manner.
Key Responsibilities
Office Administration
  • Oversee daily office operations, administrative procedures, and scheduling
  • Maintain office supplies and place orders as needed.
  • Coordinate office maintenance and vendor services.
  • Manage incoming emails, mail, and general correspondence.
  • Organize and maintain office filing systems, both physical and electronic.

Financial and Recordkeeping Support
  • Assist with invoicing, accounts payable, and accounts receivable.
  • Reconcile expenses and maintain financial records.
  • Support bookkeeping activities and coordinate with external accountants or payroll providers.
  • Prepare reports and maintain accurate documentation.

Customer and Vendor Relations
  • Coordinate meetings, appointments, and office events.
  • Address routine inquiries and escalate issues when appropriate.

Operational Support
  • Develop and improve office procedures and workflows.
  • Ensure compliance with company policies and administrative standards.
  • Support special projects and additional duties assigned by management.

Qualifications
Required
  • Bi-Lingual
