Temporary-to-Hire P/T Office Assistant Needed in Lake Bluff, IL

Our client, a very busy and growing animal protection and welfare not-for-profit organization located in Lake Bluff, Illinois, is currently looking to hire a reliable temporary-to-hire part-time Office Assistant to help support smooth business operations.

Flexible hours Monday-Friday between the hours of (8:00am to 5:00pm) working part-time about 25 to 30 hours per week. Must live close to the Lake Bluff, Illinois area.

Must have a reliable car and a valid driver’s license.

Must be reliable, proactive, and be capable of being productive while working independently with limited supervision.

 

Job Responsibilities

  • Provide administrative office support to ensure smooth not-for-profit business operations.
  • Assist with special projects and support day-to-day office needs.
  • Run business-related errands as needed. Reliable car and valid driver’s license are required.
  • Screen and direct phone calls, take messages, respond to emails, and other business-related communications.
  • Manage calendars, schedule meetings, coordinate appointments, and organize business events.
  • Prepare correspondences, reports, presentations, and other business documents.
  • Maintain confidential files and sensitive business information.
  • Communicate with and manage external vendors to ensure smooth communication and workflow.
  1. Document Management: Filing, faxing, scanning, photocopying, etc.
  2. Assist with payroll and managing company finances.  

Job Requirements

  1. 5 years of recent administrative support experience is required.
  2. College degree in Business Administration or a related field is preferred.
  3. Must live close to the Lake Bluff, Illinois area.
  4. Must have a reliable car and a valid driver’s license.
  5. Being bilingual in English and Spanish is a plus, but not required.
  6. Excellent organizational and time management skills.
  7. Strong written and verbal communication skills.
  8. Ability to manage multiple priorities while maintaining a high level of accuracy.
  9. Professional demeanor with the ability to handle confidential information.
  10. Proficient Microsoft Office skills, including Word, Excel, Outlook, and PowerPoint.
  11. Strong attention to detail, ability to multi-task, and problem-solving skills.
